Job Responsibilities:
∎ Specific responsibilities include but are not limited to:
∎ Assists and provide support to Office Associate to ensure annual inventory, work with Office Associate and support to complete physical verification with timely manner.
∎ Assist with the production, photocopying and dissemination of activity documents and other materials.
∎ Receive and open incoming mail, copying and circulating, and coordinate DHL and other outgoing mail.
∎ Assist to Office Associate to manage the office filing system, file documents, and help to maintain proper filing of activity documents in compliance with Winrock and USAID policies and regulations.
∎ Assist to Office Associate Liaise and coordinate with external service providers for office security and cleaning.
∎ Assist to Office Associate for coordinate activity equipment repairs (printers, copy machines, Internet, telephone system, etc.) when needed.
∎ Ensure that offices spaces are clean and well-organized, and the kitchen room is clean and stocked at the beginning and end of each day.
∎ Help request quotes, coordinate catering, and facility rentals for external events
∎ Assist to Office Associate for Serve as the activity's receptionist, receiving, welcoming, and directing all visitors, guests, and vendor's/ service providers and ensure all visitors and other guests sign-in and out of the visitor log.
∎ Daily office open and close.
∎ To deliver the post to the post office, pay telephone and others bills of office on time.
∎ Office cleaning and organizing the meeting and workshops
∎ Ensue the desks, chairs are cleaned and dusted on daily basis using dust control detergents.
∎ Ensure replenish consumable items (soap, toilet rolls, tissue paper, air freshener etc) as required.
∎ Check on daily basis clean toilets, urinals, hand basins, sinks, baths, showers and drinking fountains and ensure they are fresh enough for use at all times.
∎ Report any leakages, blockages in the office to the Office Associate for maintenance works.
∎ Regularly clean the meeting room and reception areas and ensure the areas is kept clean at all times.
∎ Make photocopy, scan and book binding when required
∎ Make tea and coffee for office staff and guest when required
∎ Entire office cleaning fortnightly
∎ Perform any other such tasks as required and assigned by the Esho Shikhi management
Additional Requirements:
∎ 3-5 years administrative and office management experience.
∎ Experience working for an international development agency on a USAID funded activity a plus.
∎ Experience organizing meetings, workshops and other events preferred.
∎ Previous working experience with Winrock International will be a plus.
∎ Can write, read & understand Bangla
∎ You listen and speak effectively and honestly
∎ Proven to be Physically fit
∎ Basic understanding of English.
∎ Excellent organizational and time management skills.
∎ Attention to detail and ability to manage, prioritize and complete multiple tasks simultaneously and under pressure.
∎ Flexibility and ability to work in busy environment.
∎ Competently, professionally, and discreetly at all levels within a diverse work environment.
∎ Ability to work effectively both as a team member and independently
