Education and relevant experience:

  • Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field. A master’s degree is preferred.
  • Advance level professional certification in logistic and procurement management will be an asset. 

Desired Skills:

  • Strong organizational and multitasking skills.
  • Knowledge of procurement processes, inventory management, and logistics operations.
  • Proficiency in Microsoft Office Suite (Excel, Word, and PowerPoint).


Responsibilities & Context:

Role Profile:

  • Reporting to the Nutrition Manager, The Logistic & Procurement Officer is responsible for overseeing and managing all logistics and procurement activities to support the effective implementation of INI and IMCN programs. This includes procurement planning, supplier management, inventory control, and ensuring that all logistics operations are carried out efficiently and in compliance with organizational policies and donor requirements. 

Key Responsibilities:

  • Ensure effective record keeping (physical and online inventory), reporting, and carrying out all correspondence in connection to audits & stocks (stationary, Food, Nonfood, medicine, and other materials).
  • Conduct Monthly internal audit check of upazila warehouses and INF stores and report to Nutrition Manager.
  • Ensuring assets number for newly procured items and periodic assets verification through a committee & prepare verification report for filling.
  • Carrying out a monthly inspection of all properties to evaluate any repairs or maintenance requirements.
  • Maintaining and updating asset register for all IT equipment, Furniture, Fixtures and Fittings.
  • Manage online inventory and update weekly to Nutrition Manager, monthly reporting.
  • Analyzing and evaluating procurement requests (i.e., PR verifying, ensuring RFQ terms and conditions, participating in bid opening and evaluation meetings, incorporate technical feedback in bid summary and incorporating committee recommendation. Critically analysis cost and other terms and condition, supplier selection and negotiation, preparing contract and PO award).
  • Completing all necessary procedures for press tender; prepare tender document, issuing invitation to tender, act as focal person in procurement committee, set up terms and conditions considering donor and procurement policy. Follow final delivery and payment.
  • Provide technical support to compile quarterly procurement plan. Preparing monthly procurement tracking sheet and update all concern persons.
  • During the procurement review process also reviewing the financial transactions and reported to finance focal. Provide technical support to program unit to incorporate logistics & procurement budget in the project proposal.
  • Ensuring that all supplies, services, and equipment required are delivered on time to project sites/ camps. This includes routine communication, coordination & planning with the relevant requesting staff, partners, and donors regarding needs.
  • Coordinating with Finance and program departments to ensure internal controls, timely payment of vendors and auditable support documentation.
  • Generating and maintaining comprehensive price list for goods, services and equipment purchased by Friendship.
  • Maintaining an up-to-date vendor list and documentation.
  • Working with multiple suppliers to determine the best price and must evaluate based on price, quality, delivery, and other factors.
  • Establishing and maintaining ethical, professional working relation with suppliers.
  • Receive vehicle request, assigning rental vehicles and following up further vehicle movement. Collect feedback from users to ensure smooth support and effective service delivery.
  • Reviewing all transport contracts on required basis. Frequently sit with transport companies to improve their performance/services as per the user feedback and to build up further working relation. Keeping in the records for expiration of contracts and renew contract timely or arrange necessary formalities and procedure for re-advertisement for new service provider.
  • Ensure proper fuel management practices with a focus on safety and control, supervise fuel consumption, record keeping & reporting.
  • Work closely with Deputy Nutrition Manager and other program staff to understand logistical and procurement requirements.
  • Prepare and submit periodic reports on logistics and procurement activities, including stock reports, damage report, incident report, regular spot check report and monthly warehouse inspection report.
