Job Responsibilities:
∎ Implement and regularly update the Information Management Strategy and the Disseminate all information management related products to the management and relevant sectors,
∎ Develop and update Open Data Kits (ODK) forms to ensure high quality data collection.
∎ Program Implementation:
∎ Provide practical training for data enumerators and supervisors.
∎ Develop organizational capacity for multimedia and information alerting usage.
∎ Collect and disseminate all kind of information management related products produced by relevant cluster, UN agencies and other agency,
∎ Design necessary data collection forms, ensuring that the purpose and use of data collected is clear and that questions are simple, clear and collectable,
∎ Conduct needs and gap identification for the relevant sector based on the data collected,
∎ Develop an information-sharing platform as a web-portal,
∎ Perform advisory and technical assignments in the use of Geographic Information Systems (GIS),
∎ Organize and maintain GIS data of all WASH facilities in accordance with the relevant data management protocols.
∎ Update 4W matrix with collect information and data from field,
∎ Identify appropriate secondary data and information resources,
∎ Identify and address information management gaps, and facilitate information sharing between field and project offices through the organizational web portal,
∎ Regularly map the project facilities and any other useful facilities connected to the WSH sector as per WASH sector.
∎ Provide emergency response information support to the management,
∎ Work closely with the project management to ensure consistency and accuracy of the information collected from field,
∎ Provide Information Management services to support monitoring activities within the working refugee camps,
∎ Participate in Cluster and inter-cluster meetings representing the deploying organization, and provide the necessary support in presenting the relevant data and information
∎ Coordination & Communication:
∎ Coordinate with project participants, community people, elite, leaders, local govt. representatives and stakeholders associated directly/indirectly into the project activities,
∎ Coordinate with WASH officer, Field Engineer, M&E Officer, DPHE, UNICEF likeminded NGOs, Deputy director- Engineer-VERC HQ.
∎ Coordinate with other team mates of the project
∎ Monitoring & Supervision:
∎ Ensure monitoring 100% new tube-well, tap stand and platform, 50% latrine at community level
∎ Responsible for visit/facilitation of 100% of the hardware related trainings for the project.
∎ Ensure monitoring of the project activities through community Mobilize by developing monitoring tools.
∎ Sharing field findings with WO, Project Manager and other staffs.
∎ Ensure Arsenic checking of TW and ensure safe distance to TW & Latrine through field staffs
∎ Office Management:
∎ Maintain all kinds of files, documents and records in a systematic way.
∎ File all format, correspondence, report and maintain filing system in good order.
∎ Ensure daily office working hour and keeping documents in and out.
∎ Information Management Officer will ensure preserve the relevant report.
∎ Administrative task:
∎ Good relationship with other colleagues, Beneficiaries and other stakeholders.
∎ • Respect the decision of senior management staffs of Improved WASH Services for Rohingya Refugees in Balukhali camp 8E and 8W in Ukhiya Upazila, Cox's Bazar District"
∎ Reporting and documentation:
∎ Ensure monthly, quarterly, half-yearly and yearly progress report preparation in a timely manner,
∎ Develop different kind of quality documentations, stories considering project progress and positive changes in people’s lives throughout the project implementation,
∎ Actively assist to Project Manager to prepare monthly, quarterly, half-yearly and yearly progress report and submit to the Project Manager and need base to UNICEF."
∎ Financial management related task:
∎ Follow the monitoring system and financial guideline of VERC and UNICEF as applicable."
∎ Visitor face:
∎ IOM is responsible for assist the WOs, FE, M&E Officer and other staffs for face any type of visit.
∎ Preserve all kind of project related data for facing visit."
∎ Others:
∎ Maintain all kinds of project related files, documents and records in a systematic way.
∎ File all format, correspondence, report and maintain filing system in good order.
∎ Preserve all files with respective letters/documents/reports etc
∎ Preserve necessary photographs of the project activities
Additional Requirements:
∎ Age at most 40 years
∎ Both males and females are allowed to apply
∎ 4-5 years (at least 3 years in development program management/ project coordination).
∎ Excellent skills using commonly used software MS Word, MS Excel, Power point, internet and email communication.
∎ Should be agreed to follow the organizational principles and policies including Gender, PSEA and Child protection.
∎ Excellent communication skill both in Bangla and English.
