Responsibilities & Context:
∎ Oversee daily administrative operations and ensure seamless office functioning.
∎ Organize logistics for meetings, workshops, conferences, and special events.
∎ Ensure the security and safety of office premises, assets, and personnel.
∎ Coordinate procurement and stock management of office supplies, equipment, and project-related materials on a quarterly or as-needed basis.
∎ Ensure functionality and maintenance of office equipment (printers, photocopiers, computers, etc).
∎ Maintain updated records including staff leave registers, inventory logs, and other administrative files.
∎ Prepare and manage both digital and hard copy documentation—scanning, binding, photocopying, and filing.
∎ Maintain registers for incoming/outgoing mail and ensure timely correspondence distribution.
∎ Support internal and external audits through well-organized procurement and administrative files.
∎ Assist the Accountant with procurement documentation including quotations, vendor communications, and payment processing.
∎ Maintain up-to-date procurement files in line with organizational and donor requirements.
∎ Support in processing financial and administrative documents for approval.
∎ Ensure regular servicing of office equipment and timely troubleshooting.
∎ Assist in dispatching important documents through courier or official mail.
∎ Uphold discipline, confidentiality, and professionalism in all tasks.
∎ Promote teamwork and contribute positively to the work environment.

RDRS employees approximate 3,700 staff and works with a further approximately 1,000 volunteers and daily paid workers. The vast majority of staff are in field positions, with specialist sectoral and support units in Rangpur and Dhaka.
