Responsible for:
The Facility coordinator is responsible for supervising and coordinating field activities, liasing with government stakeholders, processing work permit-related documents, and activities within the Rohingya refugee community in Cox's Bazar. This role involves overseeing the work of field staff, ensuring the efficient implementation of programs, and collaborating with other teams and stakeholders to address the needs of the refugee population.
Program Implementation: Coordinate the implementation of field activities and programs, ensuring they are executed according to the approved plans and timelines.
Government liaison: Maintaining liaison with government stakeholders, submitting monthly/bi weekly reports as required by the government authorities, processing and submitting needs assessment and other related documents and acquiring approvals.
Data Collection and Reporting: Oversee data collection efforts in the field, ensuring accurate and timely reporting of program outcomes and challenges.
Community Engagement: Facilitate community engagement and participation in program activities, ensuring the involvement of beneficiaries in decision-making processes
Needs Assessment: Participate in needs assessments and surveys to identify the specific needs and priorities of the refugee community.
Monitoring and Evaluation: Conduct regular monitoring visits to field sites, assess program effectiveness, and provide feedback for continuous improvement.
Coordination: Collaborate with other teams, departments, and stakeholders, including government agencies and NGOs, to ensure a coordinated and integrated approach to program implementation.
Training and Capacity Building: Identify training needs for field staff and facilitate capacity-building activities to enhance their skills and knowledge.
Activities:
Ensure the smooth running of the clinic including set-up, support staff supervision, security, maintenance, and liaison with landlords, contractors, and suppliers
Maintain constant liaison with the Cox Bazar based Friendship management and field team and camp based regulatory bodies including CiC, ACiC, Site Management, and Community Health Working group
Support the PMs, DPMs efforts to maintain a positive organizational climate with the highest professional and ethical standards
Support and follow through on administrative requirements
Support planning and coordination of program and its activities
Support national recruitment drive for long term strategy, including interviewing and inducting applicants.
Support growth and program development
Ensure that all standardized forms are used and guidelines are followed strickly.
Work with the Program Manager to ensure a cash flow plan is established and there is sufficient cash access at the clinic.
Maintain spend tracking system
Support Base Logistics and Logistics Assistant with ad hoc procurement requests and stock replenishment.
Develop and maintain a transparent and supportive communication structure with colleagues to ensure they are kept informed of relevant activities and requirements
Keep updated records and create reports or proposals
Manage staff scheduling to enable clinics to be open 24hours
Administer team meetings and take notes/actions.
Ensure technology is used correctly for all operations (video conferencing, presentations etc.)
Assist with set up of facilities staff accommodation/housing/transport
Initiate procurement of necessary items in consulting with SMO/ facility incharge; Keep constant follow up of the PR and Monthly Fund Requisitions and also ensure that all the logistics reaches in time.
Skill and Competencies:
Education: A bachelor's degree in a relevant field, such as social sciences, development studies, public health, humanitarian studies etc. Candidates holding a Master’s degree in the mentioned subjects will be given preference
Experience: At least 2 years’ experience of working with government stakeholders, particularly for health projects.
Experience of community engagement, co-ordination with field staff, and management of requirements of primary healthcare facilities are preferred.
Experience of working with Non-Governmental organizations or local governmental authorities.
Good communication skills and ability to conduct training and awareness
Computer skills (Microsoft Outlook, Word, Excel)
Good organizational and management skills.
