Job Responsibilities:
∎ A. Administrative functions:
∎ 1. Contribute and assist in formulating required policies and procedures regarding administrative functions. Execute and supervise security of building & properties and required renovation & construction. Execute safety & security issues in building structure, access control, health & hygiene, production activities etc. Monitor, control and establish timely maintenance and safe & logical utilization of transport.
∎ 2. Assist to timely renewal of license, contract, permission, certificate etc. Assist and manage necessary procurement as per approved policy.
∎ 3. Make available of all policies at factory for ready reference and execute all necessary tasks as per procedures. Assist the management in liaison with local law enforcement agency and other concern authorities. Functionalize different committees regarding congenial work environment.
∎ 4. Assist the concern section/department to ensure required compliance issues are in practice. Manage all installation, fixing, provisioning work in factory. Produce and preserve necessary reports, records and documents in systematic manner.
∎ B. Human Resource Management Functions
∎ 1. Contributes in designing and formulating required policy and SOP. Assist necessary recruitment and selection process in time as per approved HR policy. Assist the top management in HR planning, job analysis and preparing job descriptions.
∎ 2. Monitor and maintains attendance, overtime, personal leave etc. Update monthly manpower inventory and ensure all recruitment and selection, placement, promotion, transfer or separation is made timely as per policy/instruction.
∎ 3. Conduct performance appraisal of all employees of the factory in time. Conduct systematic disciplinary procedure and resolve relevant problem as per policy. Address all grievances and disciplinary action in time with proper documentation, systematic procedures with proper documentation. Identify training needs, arrange and conduct required training and induction to develop the employees.
∎ 4. To maintain proper communication and coordination with different Section/Department. Ensure standard documentation of all personal files, maintained and updated time to time. Process and preserve relevant data, records, and reports in proper manner.
∎ C. Compliance
∎ 1. To assist or participate in designing or formulating Company's ethical standard on social compliance issues.
∎ 2. To ensure that all data, records, reports, formats, statements, rank & files in relation to compensation and benefits are properly prepared, issued updated and maintained. To check or audit that whole employment procedure and practices are being maintained properly as per policy and records / reports / formats, statements / rank and files (personal file) relation to whole range of staffing including promotion increment transfer separation etc. are properly prepared, issued, updated and maintained. To ensure that all environmental issues including factory layout, availability of all facilities designed properly and kept always in compliant. To ensure that no force employment in the factories.
∎ 3. To ensure that employment of no child / young looking workers is made. To ensure non decimation in course of employment, paying / providing wages / salary / benefits/ facilities / welfare. To attend / participate workers welfare committee meeting, offer frequent hearing to the agreed workers in coordination with HR personnel.
∎ 4. To ensure access / right to inspection during buyer's Audit. To maintain regular-close communication with the concerned audit team as per Audit schedule, make necessary correspondence with them and respond to their all query / information.
∎ 5. To take instant corrective action in auditors' certain minor findings / discrepancies during audit. To ensure that all corrective action has been taken with regular follow up; as per CAP submitted. To put up recommended forward in coordination with factory management all requisition as per buyer's audit requirements for procurement and follow up installation, fixing, provision of the same those required as in place in a proper and timely manner.
