Job Context:

Job Responsibilities:
∎ Maintain visitor through visitor card and logbook and ensure proper movement of company assets through gate pass.
∎ Maintain the quality of security personnel during selection by the Security Agency.
∎ Assist to monitor service of security and identify security post problem against the post orders .
∎ Maintain relationships with local administration to minimize undue pressure/risk.
∎ Prepare and maintain an updated filing system for retrieval of legal documents, administrative records and reports
∎ Conduct and arrange hotel bookings and travel arrangements for domestic and International travel by company staff and visitors when advised by the supervisor
∎ Help Administrative Manager to ensure effective operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories and safety equipment's.
∎ Coordinate and Support Regional Managers and Clinic Managers in facilitating the processing of licenses, certifications, etc. from the HQ level and maintain close contact
∎ Arrange & prepare petty cash advance requisition form as required and help reconciliation of expenses for any office expenditures. As per the advice of the supervisor, maintain records of SHN Inventory Records Sheet for assets coming from closed USAID projects /NGOs and delivering to SHN Regional Offices and Clinics as/when required.
∎ Maintain stock records of stationery, refreshment and cleaning items for SHN HQ and report back to the supervisor for necessary replenishment of all consumable items and office supplies.
∎ Work with suppliers and verify receipt of supplies, arrange requisitioning of office supplies in consultation with the Administrative Manager following office procedures.
∎ Under the supervision of the Administrative Manager, manage the contracting, maintenance and safety of all hired and company vehicles including those at the regional offices

Additional Requirements:
∎ Minimum 5 years of experience in an administrative or procurement/ SCM/ operational role, preferably at the head office level with large network of company operations.
∎ Excellent time management skills and ability to prioritize work.
∎ Strong knowledge of MS Office applications.
∎ Willingness to travel across Bangladesh.
