Responsibilities & Context:
∎ Identify and evaluate potential suppliers of pharmaceuticals and medical supplies, ensuring quality, reliability, and regulatory standards.
∎ Solicit the potential bids according to the established policy and procedures.
∎ Negotiate pricing, terms, and conditions with suppliers to achieve favorable outcomes.
∎ Place purchase orders and track their progress, ensuring timely delivery.
∎ Monitor market trends and identify opportunities for cost savings and process improvements.
∎ Source specialized medicines and medical supplies as needed.
∎ Ensure that all procurement activities comply with relevant regulations, including Good Distribution Practices (GDP) and Good Manufacturing Practices (GMP).
∎ Build and maintain strong relationships with suppliers, fostering open communication and collaboration. Evaluate supplier performance and provide feedback.
∎ Resolve supplier issues and disputes in a timely and professional manner.
∎ Conduct regular supplier visits and audits.
∎ Manage supplier contracts and agreements.
∎ Ensure that all procured medicines and medical supplies meet quality standards and regulatory requirements.
∎ Verify supplier certifications and licenses.
∎ Handle product recalls and returns effectively.
∎ Maintain accurate and up-to-date procurement records, including purchase orders, invoices, and supplier contracts.
∎ Prepare and submit regular procurement reports, including purchase statistics, supplier performance, and cost analysis and case studies.
∎ Document all procurement processes and procedures. Maintain records of all regulatory compliance documentation.
∎ Collaborate with other departments, such as sector, medical, and finance, to ensure smooth procurement operations.
∎ Communicate effectively with suppliers, internal stakeholders, and regulatory agencies.
∎ Provide support and guidance to other team members.
∎ M. Pharm or B. Pharm. Certification on Procurement will be beneficial.
∎ Proven experience in procurement, preferably in the pharmaceutical or healthcare industry.
∎ Strong knowledge of pharmaceutical products, medical supplies, and relevant regulations (e.g., GDP, GMP).
∎ Excellent negotiation, communication, and interpersonal skills.
∎ Strong analytical and problem-solving skills.
∎ Proficiency in procurement software (ERP) and MS Office Suite.
∎ Ability to work independently and as part of a team.
∎ Writing and speaking skills in English are highly desirable.
∎ The Procurement Executive is responsible for the efficient and cost-effective procurement of pharmaceuticals, medical supplies, and related products. This role ensures the timely availability of high-quality medicines while adhering to regulatory requirements, ethical standards, and organizational policies. The Procurement Executive will manage supplier relationships, negotiate contracts, monitor inventory levels, and contribute to the overall optimization of the medicine supply chain.
