QUALIFICATIONS 

EDUCATION 

Graduate in Education, Management, Marketing, Media Studies, Public Administration, Psychology, Sports Science or a related field from any reputed university. 

EXPERIENCE

●       Minimum 8 to 10 years of progressive experience in co-curricular management or youth development, preferably in a university setting.

●       At least 3 years in a leadership role. 

OTHER REQUIREMENTS

●       Proven ability to lead high-performing teams and drive results in a dynamic environment.

●       Strong understanding of event management, project & financial management and club activities.

●       Excellent communication and interpersonal skills, with the ability to engage and build relationships with diverse populations.

●       Conflict resolution and problem-solving skills.

●       Proficiency with modern office and report generating technologies.

●       Commitment to diversity, equity, inclusion, and access.



Responsibilities & Context:

JOB CONTEXT

 

The Director / Deputy Director, Co-Curricular and Clubs is a leadership role responsible for designing, leading, and managing all co-curricular, extra-curricular, and student club activities of the university. The role aims to foster holistic student development by creating a vibrant campus life that promotes leadership, creativity, social responsibility, cultural diversity, and student engagement aligned with the university’s mission and strategic goals.

 

REPORTING

 

The Director / Deputy Director, Co-Curricular and Clubs will report to the Vice-Chancellor.

 

MAJOR JOB RESPONSIBILITIES

  1. Strategic Leadership & Planning

●       Develop and implement a comprehensive co-curricular strategy aligned with institutional objectives.

●       Establish annual operational plans, budgets, and performance indicators for student engagement activities.

●       Promote a culture of inclusivity, leadership development, and student empowerment.

●       Develop policies, guidelines, and governance frameworks for student clubs and organizations.

●       Ensure transparent allocation and utilization of funds.

●       Allocate funds to clubs.

●       Monitor expenditures and ensure financial accountability

●       Assist clubs in sponsorship requests and fundraising compliance

  1. Club & Student Organization Management

●       Oversee the formation, registration, evaluation, and dissolution of student clubs.

●       Ensure effective governance structures for all clubs, including elections and leadership transitions.

●       Monitor club activities to ensure compliance with university policies and regulatory standards (UGC guidelines where applicable).

●       Provide mentorship and guidance to club advisors and student leaders.

●       Prepare periodic reports on club activities and impact.

●       Track participation metrics and engagement outcomes.

●       Contribute to institutional reports on student life and co-curricular development

  1. Event & Program Management

●       Lead the planning and execution of major university events (e.g., cultural festivals, competitions, community service initiatives, inter-university programs).

●       Oversee risk assessment, logistics, and compliance for all events.

●       Ensure high standards of quality, safety, and professionalism in all programs.

●       Build partnerships with external organizations for sponsorships and collaborations.

●       Ensure activities meet safety, ethical, and legal standards

●       Oversee crisis response related to club events

●       Promote inclusive and respectful campus engagement

  1. Student Development & Leadership

 

●       Design and implement leadership training programs, workshops, and capacity-building initiatives.

●       Encourage student participation in national and international competitions and forums.

●       Support initiatives related to community engagement, volunteerism, and social impact.

  1. Stakeholder Engagement

 

●       Collaborate with academic departments, faculty advisors, marketing, and administration.

●       Maintain strong relationships with alumni, corporate partners, NGOs, and cultural organizations.

●       Represent the university in external forums related to co-curricular and club activities.

  1. Monitoring & Reporting

 

●       Develop KPIs to measure student engagement and program impact.

●       Prepare periodic reports for senior management.

●       Use data-driven approaches to improve student participation and satisfaction
