Shishu Polli Plus (a project of The Sreepur Village, Bangladesh) is a humanitarian organization which is located in Sreepur of Gazipur District. We provide support of shelter, education, rehabilitation & livelihood training to the destitute mothers and children which help them to re-settle in their community with better financial and interpersonal skills. We are looking for qualified candidates for the position of Coordinator (Admin & HR) as per followings:
Responsibilities:
Primary Responsibilities:
- Managing security team including preparing duty roster, leave management, work checklist management, incident handling, performance evaluation and other support
- Ensuring overall safety & security of the Sreepur project office (24/7) and ensuring no negative occurrence happen due to external and internal issues/parties
- Ensuring the cleanliness of the office buildings and premises and support safeguarding issues from admin side
- Monitoring the movement of staff, visitors and any other person inside and outside of the project office, must ensuring the entry of movement register, visitors register and other registers
- Managing office transports including use of updating insurance papers, fitness papers, tax token, road permit etc., monitoring the conditions of the vehicles and based on the situation taking initiative for changing gear oil, parts, tires, gear pad etc.
- Managing and supervising the office drivers, preparing and updating their Job Description, checking their duties, evaluating the performance of drivers, managing their leave, assigning them in different work as per need of the organization and overall handling their activities as direct supervisor
- Managing and monitoring the visitors/guest of SPP and arranging appropriate refreshment as per visitor’s policy, maintaining all the formalities to handle visitors/guest as per policy and practice of SPP
- Managing and maintaining the office assets and equipment, preparing and updating the list of assets and equipment with status each year separately, informing higher management about the status and taking necessary initiative for future purchase
- Preparing yearly budget of administrative expenses and providing necessary support to prepare FD-6 with collaboration of Accounts Section
- Organizing different admin relevant events as a admin staff and providing necessary admin support to arrange different program of SPP
- Managing and providing necessary logistics support to different staff as per requisition
- Preparing different requisition to collect product/equipment from store as per need and keeping necessary record of this collection
- Organizing or providing necessary support to organize different program of SPP as per decision of the management
- Providing support in arranging recruitment and training and also facilitating training as per instructions of the supervisor
- Meeting the queries of internal and external stakeholders (staff, visitors, subordinates, superiors, vendors etc.) as a part of HR customer service and as a focal person of Admin
- Maintaining good relationship with other colleagues as a core point of Admin
- Preparing monthly report of activities with the status of upcoming work and submit within 1st week of next month to supervisor
- Arranging visa, tickets, hotel booking and necessary support for Trusties & Foreign guest as per instructions of the management
- Arranging, attending and preparing meeting minutes of different meeting as per instruction of the management and
- Any other duties as per instruction of the supervisor
- Secondary Responsibilities:
- Performing the responsibilities of Waste Management Committee as a member
- Providing counselling to Guards and Drivers for changing their behavior, motivating them and helping them to adjust with the existing situation
- Taking initiative to sale damaged/old product through scrub selling in association with the scrub committee
- Providing support to store for conducting Fair Trade Shop as per need and request
- Participating in different investigation of misconduct/complain as per instruction of management
- Any other duties as per instruction of the supervisor
