Job Context:
∎ Swisscontact is inviting applications from professionals, willing to be a part of the Country Office Business Administration Team, who will assist in ensuring smooth functioning of Swisscontact`s day to day procurement and administrative requirements following organizational policies and procedures.
∎ Consultant-Finance and Admin
∎ Employment start: 01 July 2023
∎ Contract duration: 06 months initially. The contract might be extended based on performance and budget availability.
∎ Working Conditions and Environment: This will be applicable according to the Swisscontact Business Administration Manual.

Job Responsibilities:
∎ Procurement bills processing.
∎ Prepare Mushok 6.6 for applicable goods and service provider as and when applicable.
∎ Prepare Mushok 9.1 monthly.
∎ Prepare Withholding Tax Return u/s 75A, Information Regarding Payment of Salary u/s 108, and
∎ Information regarding filing of return by employees.
∎ Statement of deduction of Tax under the head Salaries u/r 21.
∎ Provide Mushok 6.6, Tax & VAT challan against goods and service provider request.
∎ Keep records of all original agreements, contracts,
∎ Store and maintain updated files of all invoices, bills, vouchers.
∎ Assist Sr. Procurement Officer of Country Office for procuring goods and services efficiently and effectively.
∎ Check bills of Partner NGOs, goods, and service provider.
∎ Prepare comparative statements and justifications for purchases.
∎ Provide logistics support for meetings/ seminars/ workshops, including arranging for transportation.
∎ Update fixed asset register, conduct quarterly physical verification of fixed assets, and arrange for disposal of out of date and disposable items.
∎ Arrange procurement of domestic and international air tickets, make hotel bookings, handle visa issues, and maintain records of Travel Requests and Authorization Forms.
∎ Any other task assigned by Manager-Finance and Admin.
∎ Others:
∎ Support the tasks of other team members.
∎ Any other task as mutually agreed by supervisor and the employee.

Additional Requirements:
∎ Minimum 2 years' experience with focus in procurement, vendor management and administrative management in an NGO, preferably INGO is preferable. Experience can be compromised based on outstanding academic result and scores in competitive assessment.
∎ Proficient in MS Excel and excellent working knowledge of computer applications such as MS Office, Outlook, etc.
∎ Sound understanding of procurement, vendor, and inventory management. Sound understanding of procurement related VAT and Tax deductions.
∎ Physical Demands: Field visits play a large part in the incumbent's activities; as such, it is expected that the incumbent is willing and able to take part in such activities as and when needed and sometimes within short notice.
