Job Context:
∎ The Cash Assistance Information Management and Reporting officer (CAIR-O) is responsible for leading operations pertaining to the Cash Based Information Management and reporting systems, tools and products for the operations.
∎ He/she supports the office to ensure that relevant information products from internal and external sources are collected, analysis/centralized in a timely manner and management reporting in place to support evidence-based decision making by the leadership team and to support other DM functions (particularly programmes) in design, monitoring and reporting for stronger positioning of the office.
Job Responsibilities:
∎ Ensure that all the distribution (Cash) documents are correctly filed, available and ready for any audit; frequent field visit to assist in documentation and accountability.
∎ Maintain invoices tracking sheet and update & share with the management on timely basis.
∎ Ensure that all Cash losses and claims procedures are in compliance with the World Vision Partnership and donor requirements.
∎ Prepare new required formats and approved from DMT and share with the team for project record keeping.
∎ Ensure timely submission of the replication and backups which include field reports, Cash reports etc. by 5th of every month for timely consolidation at the EFSP Office.
∎ Maintain response information management systems to meet response needs and develop and support systems to manage requests for information in a structures and efficient way.
∎ Support on the development and maintenance of protocols for internal information sharing with relevant functions and with external stakeholders.
∎ Ensure accurate and timely monthly, quarterly and yearly close out procedures and revision controls in place for the reports.
∎ Liaison with line manager and ensure cash disbursement in process to beneficiaries are on time.
∎ Works closely with the field monitors and Commodity officers/field Coordinators.
∎ Administration of CCTS asset control procedures.
∎ Participate in a forum of IT support staff for BMIS/CTS for sharing common experiences and troubleshooting technical challenges.
∎ Ensure Monthly Reports are posted in the WVI Food Grants Database (FGDB) with in 18 of the following Month.
∎ Ensure Quarterly Commodity Reporting.
∎ Ensure Cast Transfer Monthly Report (CTMR), Cash Transfer Summary Statement (CTSS), required Cash Transfer Reports are generated and posted in the FGDB.
∎ Ensure Monthly and Quarterly Narrative Reports are prepared, approved and posted in the FGDB.
∎ Contextualized and utilized reporting guidelines
∎ Support data collection at the implementation level
Additional Requirements:
∎ Good written and oral communication skills; Ability to consolidate information into visual presentations (factsheets, charts, graphs, tables); strong communication skills to interact with all levels of staff, management and ability to influence stakeholders.
∎ Must have strong analytical, problem solving and organizational skills with an attention to details with the ability to effectively present concepts to lay users in various settings and by various means (verbal and written).
∎ Must be able to work effectively with a diverse team.
∎ Requires the ability to work under pressure and on multiple tasks.
∎ Must have a service orientation and very comfortable supporting end-users.
∎ Familiarity with humanitarian quality assurance mechanisms including Sphere, Red Cross Code of Conduct, Humanitarian Accountability Partnership, Do No Harm, People in Aid Code of Good Practice.
∎ Excellent coordination skills since this will require coordinating with different entities with World Vision to achieve desired outcomes
∎ Commitment to continuous learning - Develop self, and maintain knowledge in relevant field at all times.
∎ Self-driven learning: Seeks out new technologies, techniques or tools for humanitarian aid delivery.
∎ Demonstrates personal integrity and trustworthiness.
∎ Previous experience in managing organizational data of different projects
∎ Understanding of the Android Mobile Platform desirable with previous exposure to mobile hardware technologies.
∎ Comfortable with learning new software systems and running rudimentary system upgrades including compiling new software releases.
∎ Minimum of 1 years’ experience in UN, INGO and NGO .
Salary: Tk. 75000 (Monthly)
