3 to 5 years of professional experience in Document Management, Records Management, Document Control, or Information Governance
Knowledge of ISO 15489, ISO 27001, and document security practices will be an advantage
Experience in MNCs, INGOs, corporate groups, or diversified enterprise environments will be preferred
Support the implementation and day-to-day operation of the enterprise-wide Document Management System (DMS), including document control procedures, SOPs, templates, document coding, filing structures, approval workflows, version control, access management, and retention schedules.
Assist in maintaining document and records governance requirements, including classification, ownership, metadata, confidentiality, archival, retention, and disposal controls across physical and digital systems.
Coordinate and manage the routine control of documents and records throughout their lifecycle, including creation, review, approval, issue, distribution, retrieval, revision, archival, retention, and disposal.
Maintain and regularly update Document Master Lists, Record Registers, archive indexes, trackers, and departmental repositories to ensure document accuracy, completeness, traceability, and retrieval readiness.
Support document control operations across Google Workspace, shared drives, ERP, HRMS, and other approved systems to ensure proper filing, repository discipline, access control, and record availability.
Ensure required documented information is organized and available for ISO/IMS, legal, regulatory, governance, compliance, and business purposes, including audits, inspections, certifications, and management reviews.
Coordinate with departments and document owners for collection, verification, review, update, filing, and retrieval of required documents and records.
Provide practical support and guidance to users on document formats, naming, coding, version control, filing structures, access issues, traceability, and record retrieval requirements.
Assist in training, awareness sessions, and development of user guidelines, manuals, templates, and instructional materials related to document and records management.
Monitor repositories and document control practices to identify obsolete or duplicate records, filing errors, retrieval gaps, access issues, retention failures, and document control nonconformities, and report findings to management.
Support corrective actions, standardization, and continual improvement initiatives to strengthen document discipline, confidentiality, compliance, and overall system effectiveness.
