∎ The WaSH Project Assistant Officer - Store in the WASH programme has the main responsibility to receive, store and issue supplies and equipment, ensure the proper documentation/ inventory of the purchased items, and follow up the procurement by closely working with the Logistic/ purchasing department.

Job Responsibilities:
∎ Mission 1: Proper stock manage and the procurement process:
∎ Keep accurate recordings of all incoming and outgoing materials.
∎ Organizing the reception of the goods/works/services ordered
∎ Identify and report any slow-moving items to avoid over purchasing.
∎ Checking and validating the supplier invoices from the side of the program
∎ Ensure delivery of all incoming materials and reconcile with purchase orders
∎ Filing and archiving the documentation related to the procurement as per ACF procedures
∎ Keep accurate recordings of all incoming and outgoing goods.
∎ Notify the manager/supervisor of any low stock levels.
∎ Organizes the reception of the purchase between the supplier and requester
∎ Ensures transfer of responsibility with the internal consignee (requester/stock)
∎ Collects, verifies and validates the invoices related to the procurement
∎ Archives and saves all documentation related to the procurement, as defined by ACF
∎ Collects and ensures the necessary information and documentation in order to prepare the purchase (PR / Quotation Request, Technical specifications, samples, designs, PFU, etc...)
∎ Participating in the selection of the supplier where required.
∎ Mission 2: Participates in the compilation/ production of information of the department.
∎ Compiling and capitalizing the data regarding « suppliers » and «goods, works and services »
∎ Participating in the elaboration of documents related to procurement
∎ Compile and ensure accuracy of the reporting data for procurement
∎ Updates the internal documents regarding suppliers (supplier list, supplier files, contract follow up, etc.)
∎ Follow to all Health and Safety procedures particularly relating to consumable items.
∎ Updates the internal documents regarding goods, works and services purchased (catalogue, price lists, technical specs, samples, etc.
∎ Support to line manager by participates in the elaboration of internal coordination/ communication documentation (cash forecasts, etc...)
∎ Compile the information necessary for reporting on procurement, as defined by the his/her supervisors
∎ Mission 3: documentation and follow-up the WASH stocks
∎ Proper documentation of the received and delivered materials in the field level
∎ Ensure the quality of the materials in the field level or in the base level
∎ Ensure the availability and proper use of the materials in the field level
∎ Ensure steps of stock management (stock card, bin card etc.) as per the ACF policy including physical inventory when needed.
∎ Support the line manager for organizing the required training for the respective staffs together with the logistic department
∎ Assist to the line manager for follow-up the procurement process of the partners, when there are partner-based projects.
∎ Support to line manager to follow up the submitted procurement lines/ request.

Additional Requirements:
∎ Both males and females are allowed to apply
∎ 2 years proven experience in stock and inventory management
∎ 1 years proven working experience in NGOs/ INGO especially related to WASH implementation
∎ 1 years proven experience on supply chain management especially in procurement in INGO/NGO's.
∎ Proven experience in management (team management, supervision, activity planning)
∎ Ability to organize the activity, autonomy, self-discipline
∎ Good experience on WASH related items
∎ Experience on local market will be considered added value
∎ Advanced computer skills especially in MS Office applications
∎ Familiar with related Inventory/ stock Management Software
∎ Good Negotiating skills
∎ Familiarity with standard concepts and best practices in a stockroom or warehouse environment.
∎ Good knowledge of the geography of Ukhiya, Cox's Bazar and its local context, customs and culture;

Salary: Tk. 36574 (Monthly)

∎ Festival Bonus: 02 basic salary per year.
∎ Contributory Provident Fund: 7.5% of Basic Salary.
