Job Context:
∎ Service and Support – customer relations officer (CRO)/Receptionist is responsible for the completion of daily Service and Support tasks and may also be required to assist with other administrative duties as directed by the Service and Support Operation Branch Manager.
∎ • General administration - Responsible for completion of designated administrative tasks within specified deadlines.
∎ • Sales – To drive sales on a targeted basis for all products within the service and support
∎ department.
∎ • Answer incoming calls within three rings using the standard telephone answering protocol. It is necessary to quickly identify the purpose of the call to either take the call or transfer to the most a qualified member of staff to deal with the enquiry.
∎ • Transfer calls by announcing the name of the caller, company name (if relevant) and the nature of the call. Any callers placed on hold must be kept advised of the status of the call and, if experiencing delays, transferred to an alternative member of staff.
∎ • Greet all visitors to the office, ensure they complete the visitor’s book and are advised to take a seat while the relevant member of staff is contacted. The customer relations officer (cro) / Receptionist is required to draw attention to the health and safety guidelines held at reception.
∎ • Organise the post – Customer Relations Officer (CRO)/Receptionist is responsible for the receipt of incoming deliveries.
∎ • Manage the voicemail – The Service & Support Consultant/Receptionist is responsible for clearing voice messages and transferring messages to the relevant member of staff on a priority basis each day. The Service & Support Consultant/ Receptionist is also responsible for setting the recorded announcement at 17:30 each evening.
∎ • Maintain the reception area – The Service & Support Consultant/Receptionist is responsible for maintaining a tidy and organised reception area at all times. Any incoming or outgoing deliveries must be directed to the goods entrance and any boxes or products removed from the reception area, where possible, throughout the day. The Service & Support Consultant/Receptionist must ensure that the eating area remains clear and the reception provides a high-quality reflection on the company for any staff and visitors to the office.
∎ • Manage to order of products – To work with managers and meeting schedule to make sure all necessary products are ordered and delivered.
∎ • Health & safety – play a key role in the company health and safety policy by identifying and communicating any health and safety concerns to the health & safety manager.
∎ • Emergency response - In the event of a fire alarm activation, the customer relations officer (cro) t/Receptionist is responsible for reporting the location of the fire using the fire alarm display panel. The Customer Relations Officer (CRO)/Receptionist is responsible for completion of the staff register at the assembly point and also contacting the health & safety manager or a qualified First Aider immediately in the event of a first aid incident.
∎ • Sign in the register – The Customer Relations Officer (CRO)/Receptionist is responsible for ensuring that
∎ the sign-in register is completed by all staff, clients as they enter and leave the building.
∎ • In house task/ Education Counselling activities – Responsible for directing in house training delegates, Student Counselling, Paper Scanning, Photocopying, Call to the clients, booking Appointment, Making application or other visitors to the relevant University admission supports services.
∎ • Front House: – Provision of a highly professional, inefficient and organised front office facility.
Job Responsibilities:
∎ -Greet and welcome UK University Delegates, potential students, parents, guardians, as soon as they arrive at the office
∎ - Greeting all visitors to the appropriate person and office
∎ - The answer, screen and forward incoming phone calls
∎ - Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
∎ - Provide basic and accurate information in-person and via phone/email
∎ - Receive, sort and distribute daily mail/deliveries
∎ - Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
∎ - Order front office supplies and keep an inventory of stock
∎ - Update calendars and schedule meetings
∎ - Arrange travel and accommodations, and prepare vouchers
∎ - Keep updated records of office expenses and costs
∎ - Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
∎ -Diary management and management of meeting rooms
∎ -Possibly handling event coordination, both internally and externally
∎ -Handling queries and complaints via phone, email and general correspondence
∎ Assisting the Branch operation Manager, HR team with recruitment, onboarding and termination processes
