Experience:

Christian Service Society (CSS), a renowned national non-governmental organization, has been serving underprivileged and marginalized communities since 1972. CSS has been working towards creating sustainable change in Bangladesh by implementing various projects and programs focusing on education, healthcare, women’s empowerment, disaster relief and rehabilitation, microfinance, enterprise development, etc.
We are seeking an experienced and qualified “Purchase-cum-Facility Officer” who will be responsible for managing and implementing all procurement activities for the CSS Dhaka Office while overseeing daily facility operations and maintenance, including dining services and housekeeping. The role focuses on ensuring transparent and cost-effective procurement, maintaining complete procurement documentation, and ensuring a clean, well-maintained, and efficiently managed office and training/meeting environment.
Job Responsibilities:
1. Procurement Management:
Manage the procurement of office supplies, IT equipment, printing materials, housekeeping goods, and dining supplies for the Dhaka Office.
Collect competitive market quotes, prepare price comparison statements (CS), and negotiate favourable prices and contract terms with local vendors.
Assist in issuing Purchase Orders (POs), verify received goods against specifications, and coordinate delivery and logistics.
Maintain an updated supplier and vendor database in Dhaka, conducting periodic assessments.
Process vendor bills and reconcile supporting procurement documentation, and coordinate with the Finance Team for timely disbursements.
Manage office inventory to prevent stock-outs or surplus, maintaining accurate digital and physical logs of stock movements.
Coordinate with Head Office regarding procurement requirements in Dhaka.
2. Dining & Cafeteria Management:
Supervise daily meal services, tea/snack arrangements, and cafeteria operations at the Dhaka Office.
Coordinate with relevant staff on menu planning, hygiene standards, and food freshness.
Maintain a meal register to track daily meal counts and verify food-related invoices before submitting them for approval.
Oversee the proper management of kitchen consumables, tea/coffee, and other related supplies.
Arrange special food-related requirements for official meetings, workshops, and visiting guests in coordination with the supervisor.
3. Housekeeping & Facility Operations:
Supervise relevant housekeeping and cleaning staff to maintain standards of workplace cleanliness and hygiene.
Conduct daily inspections of workstations, conference rooms, washrooms, and common areas.
Monitor stock levels and usage of cleaning and sanitation products, cleaning chemicals, and toiletries to ensure responsible consumption.
Identify routine facility repair and maintenance needs, including electrical, plumbing, air-conditioning, and furniture-related issues, and coordinate timely corrective action in consultation with the Liaison Coordinator.
4. Administration Support:
Support general administrative tasks, guest arrangements, and logistical requirements as assigned by management.
