Job Context:
∎ Contract duration: Until 31st December 2021 (with possibility of extension)

∎ This position is mainly responsible for following of all bases timesheet including Dhaka & Cox and completed on time as per Recap TCC.
Job Responsibilities:
∎ Objective 1: Implementation of the Catching up Process of the Timesheets.
∎ Coordinate of the catch-up of the Timesheets with all the stakeholders of the mission.
∎ Ensure the reconciliation of the data transmitted by the support departments with the timesheet and take corrective actions after discussion with the relevant persons.
∎ Generate pre-filled Timesheets via the mission specific Excel tool/ HOMER and their distribution to all the staff.
∎ Coordinate the flow of information between the head of the support departments and all the managers.
∎ Ensure the compliance of the catch-up process with the established timeframe;
∎ Generate and consolidate the information in the listing for control and for finance.
∎
∎ Objective 2: Support the necessary adjustments between the HR and Finance departments in order to facilitate the catching up of the timesheets
∎ Establishing an action plan for the catching up of the timesheets;
∎ Ensuring the correct transmission of financial data to the HR department (globally and in specific cases).
∎ Ensuring the correct transmission of HR data to the finance department (globally and in specific cases).
∎ Monitoring the correct completion of timesheets and to provide the necessary support on blocking points by accompanying the staff or the managers.
∎ Coordinating weekly meetings with all key actors to monitor the action plan.
∎ Audit samples from January 2021 to August 2021.
∎ Raising alerts towards the country directors and the timesheet project coordinator in case of unexpected difficulties or delay with the action plan.

∎ Objective 3: Skills development and support with regularisation of GTA related task for smooth GTA deployment.
∎ Work on one to one with individual staff who requires more hand on support on GTA.
∎ Liaise with tech team at HQ to trouble shoot issue that come up from time to time during August and September.
∎ Support the Finance and HR teams with weekly reminders in order to stay on track with the HR and Finance data for GTA during August and September.
∎ Audit samples of GTA data entry with Finance and HR data to ensure accuracy.
