Experience:

Experience
Minimum 3–5 years of relevant experience as Personal Secretary, Executive Secretary, Executive Assistant, Secretary to Chairman/MD/CEO or similar position.
Experience in Real Estate, Land Development, Corporate, Group of Companies or similar business environment will be preferred.

Job Context
We are looking for a highly organized, professional, discreet and well-presented Personal Secretary to the Chairman to provide comprehensive secretarial, administrative and coordination support to the Chairman.
The ideal candidate should have excellent communication skills, strong follow-up ability, professional etiquette and the ability to handle confidential information with the highest level of integrity.
Job Responsibilities
Provide comprehensive secretarial support to the Chairman.
Manage the Chairman's daily schedule, calendar, appointments and meetings.
Coordinate internal and external meetings on behalf of the Chairman.
Prepare meeting schedules, agendas and necessary documents.
Receive and screen telephone calls, emails, correspondence and visitors.
Draft, format and review letters, emails, official communications and reports.
Maintain confidential files, documents and records of the Chairman's office.
Coordinate communication between the Chairman and internal departments.
Follow up with department heads and concerned executives on instructions given by the Chairman.
Prepare follow-up lists and ensure timely completion of assigned tasks.
Coordinate appointments with clients, business partners, government officials and other stakeholders.
Maintain proper records of meetings, decisions and action points.
Arrange travel schedules, transportation, accommodation and related requirements when necessary.
Prepare presentations, reports and briefing documents using MS Office.
Handle sensitive and confidential information professionally.
Ensure timely communication of the Chairman's instructions to relevant personnel.
Monitor important deadlines, meetings and commitments.
Provide administrative support for special projects assigned by the Chairman.
Maintain professional relationships with internal and external stakeholders.
Perform any other duties assigned by the Chairman.
