Job Summary:
The Operations Manager is responsible for overseeing the day-to-day operations of the wholesale and distribution business of the Company. This role ensures that products are received, stored, and distributed efficiently and effectively, in alignment with company standards, customer expectations and regulatory requirements. The ideal candidate is process-oriented, detail-driven, and experienced in managing supply chain logistics, inventory control, and warehouse operations.
Working Conditions:
Full-time role
May involve occasional travel to suppliers or client locations.
Requires physical presence for team supervision and operational oversight.
Key Responsibilities:
Accounts & Transaction Monitoring:
Oversee account-level operations including openings/closures, reconciling, chargebacks, fee processing, stop-pay orders, and GL account adjustments.
Track financial metrics: transaction error rates, reconciliation timeliness, compliance exceptions, backlog aging, cost-to-serve, etc.
Work closely with Fraud & Risk teams to escalate suspicious transactions and enforce audit-ready workflows.
Ensure complete and accurate reconciliations and reports for internal and external audits.
Warehouse & Inventory Management:
Supervise warehouse operations including receiving, storage, picking, packing, and shipping.
Maintain optimal inventory levels; ensure accurate inventory tracking and stock rotation.
Implement and manage inventory control procedures to minimize loss and shrinkage.
Ensure proper use and maintenance of warehouse equipment.
Logistics & Distribution:
Manage inbound and outbound logistics, including freight scheduling and carrier negotiations.
Optimize delivery routes and schedules to ensure timely and cost-effective distribution.
Coordinate with third-party logistics providers as needed.
Marketing Department:
Implement and uphold brand identity across all platforms and campaigns.
Plan and execute promotions, product launches, and seasonal offers.
Monitoring activity of Facebook, social media, website, and e-commerce platforms.
Drive engagement strategies through loyalty programs, feedback systems, and awareness drives.
Track competitor activity, pricing, product trends, and customer behavior.
Align marketing activities with sales strategies and seasonal targets.
Team Leadership & Staff Management:
Train, and manage warehouse and logistics staff.
Monitor employee performance and provide coaching and development opportunities.
Ensure compliance with health, safety, and regulatory standards.
Process Improvement:
Analyze workflow, identify inefficiencies, and implement process improvements.
Collaborate with other departments (Sales, Procurement, Accounts & Finance) to streamline operations.
Introduce and utilize ERP and warehouse management systems (WMS) for operational excellence.
Customer Service & Fulfillment:
Ensure customer orders are processed accurately and delivered on time.
Resolve operational issues that impact customer satisfaction.
Collaborate with sales and customer service teams to meet client expectations.
Reporting & Compliance:
Prepare and analyze operational reports (KPIs, stock levels, delivery times, costs).
Ensure compliance with industry regulations and company policies.
Maintain accurate records of shipments, inventory, and other operational activities.
