∎ Organizing the office and assisting the Office manager, to optimize processes of domestic travel for ACF staff and visitors, training and workshop arrangements, sorting and distributing communications and supporting documents in a timely manner.
Job Responsibilities:
∎ Objective 1: Assist travel arrangements, accommodation and appointments at base level
∎ Handle and oversee all travel arrangements (air, hotel or guest house, etc.)
∎ Negotiate contracts or rates with travel service providers
∎ Provide assistance on travel documents, insurance, etc.
∎ Ensure compliance in all aspects of travel procedures
∎ Drive continuous improvement of travel programs
∎ Objective 2: Assist staff trainings arrangement
∎ Organize training events by scheduling travel arrangements, making venue arrangements, transportation arrangement and scheduling meeting and training room time for various training events
∎ Prepare Meeting and Training Rooms, straighten up and restock meeting and training rooms, refilling supplies, and performing light custodial tasks as needed to keep these areas clean and well-organized
∎ Settlement of supplier
∎ Objective 3: Office Assistant
∎ Organize office and assist colleagues and visitors in ways that optimize procedures;
∎ Perform general office clerk duties and errands
∎ Manage Store operations of office supplies
∎ Monitor level of supplies and handle shortages
∎ Resolve office-related malfunctions and respond to requests or issues
∎ Coordinate with other departments to ensure compliance with established policies
∎ Objective 4: Assist Divisional Director in day to day Secretarial Jobs
∎ Maintain files and keep correspondence and reports available for reference.
∎ Organizing and maintaining diaries and making appointments
∎ Preserve all confidential files and documents
∎ Coordinate with management team as per requirement
∎ Maintaining privacy, secrecy as well as maintain official norms and principle
∎ Should be flexible for taking any other tasks to be assigned
∎ Objective 5: Proactively support ACFs commitments to gender equality, child protection and disability sensitivity
∎ Read and ensure a full understanding of ACFs Gender Minimum Standards & Child Protection Policies, asking questions and/or for support when necessary
∎ Implement all work related activities with a gender, disability and child protection lens, taking into account the different needs, concerns and ideas of our staff and beneficiaries
∎ Ensure the incorporation of gender equity principles in all policies and activities
∎ Encourage the participation of all genders in meeting and on committees
∎ Help build an inclusive office environment where people do not feel disadvantaged or judged according to their gender or limited due to manageable disability
Additional Requirements:

Salary: Tk. 36574 (Monthly)
Compensation & Other Benefits:
∎ Festival Bonus: 1 month Gross salary every year
∎ Provident Fund: 7.5% of Basic Salary
∎ Performance Bonus: from 30 % to 80% of monthly Gross salary per year depending on performance
