Responsibilities & Context:

Role Summary

The Manager - Accounts & Finance will oversee the day-to-day operations of the accounting and finance department, ensuring financial integrity, regulatory compliance, and robust internal controls. This role blends hands-on financial management—including corporate accounting, tax/VAT compliance, and treasury—with strategic analysis to support leadership decision-making. The ideal candidate will mentor a growing team, drive ERP advancements, and maintain strong relationships with external regulatory bodies and financial institutions.

Key Responsibilities

1. Financial Accounting & Reporting

  • General & Subsidiary Ledgers: Oversee and monitor the reconciliation of all general ledgers and subsidiary ledgers, ensuring accurate classification of income, expenses, assets, and liabilities.

  • Chart of Accounts (CoA): Maintain and develop the Chart of Accounts to align with business expansion and reporting requirements.

  • Closing & Financial Statements: Lead the month-end, quarterly, and year-end closing processes. Supervise the preparation and timely reporting of monthly, quarterly, and annual financial statements (Balance Sheet, P&L, Cash Flow) in accordance with standard procedures (IFRS/IAS).

  • Outlet Consolidation: Prepare consolidated Profit and Loss accounts across various outlets and business units.

  • Transaction Integrity: Verify, monitor, and control accounting transactions, records, and documentation to ensure they are properly entered into register books and financial software.

2. Tax, VAT & Statutory Compliance

  • Taxation & Withholding: Oversee the calculation, deduction, and timely payment of Corporate Advance Income Tax, Tax Deducted at Source (TDS), and VAT Deducted at Source (VDS).

  • Filing & Returns: Prepare and submit accurate monthly VAT returns and ensure all statutory returns and certificates comply with national regulations.

  • Regulatory Liaison: Maintain healthy institutional relationships and manage liaisons with the Registrar of Joint Stock Companies (RJSC), Tax & VAT offices, and other relevant statutory bodies.

  • Licensing & Legal: Assist with the renewal of critical business licenses (e.g., IRC, DCCI, etc.) and ensure general corporate regulatory adherence.

3. Treasury, Banking & Trade Operations

  • Cash Flow Management: Monitor daily cash and bank balances, oversee the maintenance of the Cash Book, and manage rolling cash flow forecasts to ensure optimum liquidity for operations and investments.

  • Banking & Loans: Manage banking relationships, handle loan management, and ensure the timely repayment of existing loans through efficient cash flow tracking.

  • Funding & Documentation: Prepare company profiles, accounts, and financial documentation required for processing loans, credit ratings, or financial contract negotiations.

  • Trade Finance & Imports: Execute Letter of Credit (LC) and Advance Telegraphic Transfer (TT) documentation and processes for importing goods.

  • Asset Insurance: Manage insurance policies for the company’s property, plant, and equipment.

  • Investment & Credit: Assist in managing short-term investments or credit facilities to maximize interest income or minimize borrowing costs.

4. Financial Analysis, Budgeting & Management Insights

  • Budget Coordination: Coordinate with various departments to compile, prepare, and review monthly, quarterly, half-yearly, and annual operating budgets.

  • Variance Analysis: Compare actual financial performance against budgets and forecasts, identifying and reporting root causes for overspends or revenue shortfalls.

  • Costing & Feasibility Support: Assist the pricing team with product costing, analysis, and negotiations. Conduct financial feasibility studies for new outlet openings or closures.

  • Management Insights: Translate complex financial data into concise, actionable reports for senior management to facilitate easy decision-making.

5. Vendor & Working Capital Management

  • Payables Management: Monitor accounts payable aging reports to ensure accurate vendor payments within agreed-upon credit terms.

  • Staff Advances: Track and monitor staff advance aging reports, ensuring timely adjustment as per company policies.

6. Team Leadership & Development

  • Supervision & Mentorship: Control, monitor, guide, and mentor subordinates within the accounting team to ensure accuracy in daily work.

  • Systems Advancement: Assist in the development, implementation, and optimization of the ERP system and Customer Information & Management System (CIMS) to automate reporting and improve data integrity.

  • Payroll & Commissions: Provide oversight to ensure the accuracy of salary disbursements across the head office, factory, distribution centers, and outlet staff, including incentives and sales commissions.

  • Training: Provide ongoing training to staff regarding financial policies, systems, and procedures.

7. Internal Controls, Auditing & Cost Control

  • SOP & Policy Development: Assist in developing, implementing, and enforcing Standard Operating Procedures (SOPs) for cash management, voucher systems, petty cash, payroll processing, and internal control systems.

  • Cost Control: Monitor departmental spending and actively implement cost-reduction initiatives where necessary.

  • Internal Audit Coordination: Facilitate internal audits across different outlets to identify financial control gaps and implement corrective measures.

  • External Audit Management: Act as the primary coordinator for external audits, preparing all necessary schedules, worksheets, and documentation to ensure smooth, unqualified annual audit reports compliant with IFRS/IAS.
