Job Responsibilities:
∎ Prepare Monthly/Quarterly/Yearly Procurement Plan for purchase of all goods & services
∎ Estimate and establish cost parameters for purchases/services
∎ Ensure all kinds of Purchases (Direct/ Single Quotation/ RFP or RFQ Method/ Open Tender) as per Procurement Guidelines & Implementation Procedures of HOPE Foundation
∎ Ensure enlistment of vendors/suppliers/service providers as per Procurement Guidelines & Implementation Procedures of HOPE Foundation
∎ Create and maintain good relationships with vendors/suppliers/service providers
∎ Maintain and preserve all records of purchases, pricing and other important documents
∎ Review and analyze all vendors/suppliers/service providers, supply and price options
∎ Develop plans for purchasing equipment, services, and supplies as per demand of program or projects
∎ Negotiate the best deal for pricing and supply contracts
∎ Ensure that the products and supplies are high quality
∎ Maintain and update a list of suppliers, documents and their qualifications, delivery times, and potential future development
∎ Make professional decisions in a fast-paced environment
∎ Work with team members and procurement manager to complete duties as needed
∎ Activities will be a key person for vendors/suppliers/service providers, supply from purchase to final payment
∎ Ensure and Carry out different forecasting timely to help programmatic and financial decision making
∎ Fully ensure all activities with the Procurement and Inventory Management System (PIMS) of HOPE Foundation for all kinds of purchases/services
∎ Build up good environment/coordination for working with program and finance
∎ Ensure warehouse/store receiving for all kinds of physical products/goods
∎ Submit all bill/Invoice to finance department timely as per following the Procurement Guidelines & Implementation Procedures of HOPE Foundation
∎ Preparation plan for Logistic Support of Program and Outreach centers.
∎ Ensure collection product/goods from warehouse/store as per demand of Program/outreach centers and deliver to outreach centers in time.
∎ Maintain good relationship with transport office for transport facility for delivery product/goods to outreach centers
∎ Ensure proper packing and crating for safe delivery of product/goods to outreach centers
∎ Oversee Program and outreach centers based queues and plan and allocate tasks to meet configuration requirements
∎ Responsible for tracking, receiving, and stocking all items ordered
∎ Ensure materials are appropriately stored of outreach centers
∎ Check stock register of outreach centers and completion report to submit management and donor
∎ Provide a list of all equipment moved from the consolidation areas into sponsor shipping channels to project coordinators
∎ Manage all kinds of repair including equipment in all outreach centers
∎ Responsible for supervising and accounting for an inventory of outreach centers
∎ Fully ensure all activities with the Procurement and Inventory Management System (PIMS) of HOPE Foundation for Storage and Inventory
∎ Maintain required documentation for handover products/goods/services
