Position Overview
The Finance & Admin Coordinator is responsible for ensuring efficient financial management, transparent accounting practices, and smooth administrative operations of Lal Sabuj Society. This role supports project budgeting, financial reporting, office management, procurement, and compliance with donor and NGO Bureau regulations. The position also contributes to strengthening the organizational financial and administrative capacity by providing close guidance and support to other office staff.
Key Responsibilities
A. Financial Management & Accounting
Maintain accurate financial records, ledgers, and vouchers following organizational policies.
Prepare monthly, quarterly, and annual financial statements and reports.
Ensure all expenses comply with donor requirements, LSS policies, and NGO Bureau rules.
Monitor cash flow, bank transactions, and reconcile accounts regularly.
Oversee payroll preparation, staff benefits, and statutory deductions.
Support external and internal audits, ensuring proper documentation.
B. Budgeting & Financial Planning
Assist in developing project budgets and annual organizational budgets.
Track budget utilization and alert management about variances.
Provide financial forecasts, expenditure tracking, and cost-control recommendations.
Support proposal budgeting for donor submissions.
C. Procurement & Asset Management
Follow transparent procurement processes in line with organizational and donor policies.
Maintain inventory of assets, equipment, and office supplies.
Oversee vendor management, quotations, contracts, and payment processing.
Ensure proper maintenance, safety, and tracking of organizational assets.
D. Administrative Coordination
Manage office administration, logistics, travel arrangements, and event support.
Ensure proper documentation of letters, agreements, HR files, and organizational records.
Oversee office maintenance, utilities, and service contracts.
Support recruitment processes, HR documentation, and staff onboarding.
E. Compliance & Governance
Ensure compliance with financial regulations, NGO Bureau requirements, tax laws, and audit standards.
Maintain updated financial policies and support governance documentation.
Coordinate with government authorities, banks, and auditors as needed.
F. Team Support & Capacity Building
Supervise junior finance staff and provide guidance where necessary.
Conduct financial orientation for staff and volunteers involved in projects.
Promote a culture of accountability, transparency, and professionalism.
Strengthen the organizational financial and administrative capacity by providing close guidance, mentorship, and hands-on support to other office staff
