Responsibilities & Context:
∎ Coordinate with suppliers to confirm SMETA audit window bookings and ensure timely scheduling.
∎ Collect and review 3rd party ethical audit reports (e.g. SMETA, BSCI, WRAP etc.) from suppliers.
∎ Maintain consistent communication with suppliers to follow up on Corrective Action Plan closures and obtain necessary evidence within defined timelines.
∎ Support suppliers in understanding customer audit standards, expectations and documentation requirements.
∎ Review CAP submissions to ensure alignment with customer requirements.
∎ Provide guidance to suppliers on developing realistic and measurable corrective actions.
∎ Regularly track CAP implementation progress and escalate issues where progress is lacking or delayed.
∎ Act as a liaison between suppliers, internal departments (sourcing, merchandising, technical, legal, etc.) and external stakeholders.
∎ Maintain and regularly update a Supplier Monitoring Tracker that includes audit schedules, CAP status, audit report summaries and customer approvals.
∎ Prepare and present monthly and quarterly compliance reports to department head as required.
∎ Store and manage compliance documents securely, ensuring ease of access and version control.
∎ Stay updated with customer specific codes of conduct, audit protocols and compliance expectations.
∎ Share relevant compliance updates, audit policy changes or legal/regulatory developments with suppliers.
∎ Assist in organising or delivering training sessions for suppliers on key ethical topics.
∎ Promote awareness of responsible sourcing. Support factory onboarding proposals.
∎ Assist in drafting policies, SOPs.
