Job Context:
∎ Ipas Bangladesh is a partner of a Consortium led by Concern Worldwide to implement a large health programme funded by DFID to increase access to quality essential healthcare for the disadvantaged, including people with disabilities, through innovative approaches and covering around 2 million people in urban and rural areas in the underserved, remote coastal areas in the Khulna and Barishal Division of Bangladesh. The programme duration is three and half years from 2019- 2022.
∎ The Administrative Associate will assist in providing administrative, procurement and logistic support to the project and will support in archiving documents. S/he will provide efficient support in organizing training/meeting/ conferences including arranging venue; ensuring invitation of participants; arranging materials, logistics and food. S/he also will organize bills/invoices for payment, make travel arrangement including accommodation, ticketing, vehicle support and ensure smooth running of office premises with standard hygienic environment.

Job Responsibilities:
∎ Logistic Support and event management

∎ Provide assistance in planning and arrangement of conferences, workshops, meetings and training sessions that includes venue arrangement, participants invitation, and producing program materials.
∎ Documenting and Tracking project activities, event expenditures and creating signage for conferences and events.
∎ Provide assistance in attending guests and keeping attendance sheet of the training/meeting/workshop
∎ Arrange receiving and sending project logistics; maintain files of incoming/outgoing challans, distribution lists and stock records.
∎ Procurement & Stock Management:

∎ Assist in arranging procurement of project material and other supplies/equipment following Ipas procurement policy as per approved requisition within agreed deadline.
∎ Receive Bills/Invoices, organize with necessary supporting, ensure Work Order numbers and GRN seals etc. and submit to Finance Dept. for payment.
∎ Travel Arrangement:

∎ Arrange tickets (domestic & International), or rents vehicle/transports as per approved tour programs/requests.
∎ Assist in depositing visa applications and collecting passport, carry out bank activities related to international travel
∎ Arrange room reservation/accommodation for travelers as per travel authorization.
∎ Assist in processing visa applications and other logistical support in connection with foreign travel. (i.e. VISA, Insurance for foreign travel, NGOAB approval etc.)
∎ Receiving/dispatching letters

∎ Assist in making ready all out going letters/mails/documents
∎ Distribute incoming mails to concerned persons; ensure dispatch of outgoing mails; maintain mail register
∎ Any other work requested by the supervisor

Additional Requirements:
∎ 2-3 years working experience in an NGO/agency in administration department.
∎ Good verbal and writing communication skills in Bangla and English.
∎ Proficiency Microsoft Office products such as Word, Excel, and Outlook
∎ Ability to work as an effective team player.

Salary:
∎ Ipas Bangladesh will offer an annual salary of BDT 510,000-539,000
