Technical Competencies

  • Ability to manage incoming and outgoing mails, parcels, and courier documentation with accuracy and compliance to SOPs.

  • Skilled in maintaining registers, logs, and confidential records in both manual and electronic formats.

  • Competent in preparing, verifying, and processing courier bills and supporting contract renewals with service providers.

  • Basic operational knowledge of access control, crowd management, emergency response, and CCTV assistance during exigencies.

  • Strong understanding of hospital policies, security protocols, and confidentiality requirements related to document handling.

  • Ability to coordinate effectively with internal departments, courier companies, and senior management offices.

  • Should be able to communicate (both in Bangla & English – oral & written) and leadership skills.

  • Able to handle pressure, extended working hours, and sudden operational demands with a calm and professional approach.

  • Demonstrates high ethical standards and maintains strict confidentiality when handling sensitive documents and information.

  • Working knowledge on MS Office.

  • Works collaboratively with the Security Department and supports colleagues to ensure smooth operations.



Responsibilities & Context:
  • Receive, sort, record, and dispatch all incoming official and personal mails with proper documentation, registers, and acknowledgment.

  • Ensure accurate and timely dispatch of outgoing official mails, parcels, and documents through approved courier service providers with complete documentation.

  • Act as the primary point of coordination with designated courier service companies for daily mail and parcel operations.

  • Prepare, verify, and process monthly courier service bills, ensuring accuracy and timely submission for payment.

  • Monitor, update, and support the renewal of official contracts and service agreements with courier service companies in coordination with management.

  • Maintain up-to-date logs and tracking records for all incoming and outgoing correspondence, including local and international dispatches.

  • Liaise with internal departments and consultants to ensure smooth, timely, and secure distribution of official documents.

  • Ensure safe and timely movement of official documents between EHD and STS / Managing Director’s Office, always maintaining confidentiality.

  • Act as the first point of contact for sending and receiving official international mails through designated courier services.

  • Follow up on delayed, misplaced, or undelivered mails and take corrective actions with courier service providers.

  • Ensure compliance with hospital policies, SOPs, and security protocols related to document handling and dispatch.

  • Maintain confidentiality, integrity, and professional standards while handling sensitive and confidential hospital documents.

  • Be capable of performing the duties of a Shift In-Charge whenever required, including access control, crowd management, and emergency response.

  • Support security operations during emergencies, peak hours, or special situations as instructed by line management.

  • Remain available and willing to work extended hours, shifts, or off-hour duties, and report to EHD during off hours as when required.

  • Maintain effective and professional communication with all Security Department staff of EHD.

  • Report any irregularities, security concerns, document discrepancies, or procedural issues to the immediate supervisor promptly.

  • Participate in security briefings, training sessions, and departmental meetings as required.

  • Perform any other duties or assignments assigned by the Security Department or hospital management in support of safe and efficient hospital operations.

  • Assist CCTV operation on an emergency basis.
