Requirements:
Responsibilities & Context:
∎ A bachelor's degree or diploma in secretarial duties or equivalent, with at least two years of experience in an administrative or similar position.
∎ Ability to manage office equipment such as computers, photocopiers, projectors, and printers.
∎ Substantial filing and secretarial skills and proficiency in Microsoft Word, Excel, and PowerPoint.
∎ Ability to multi-task with a high level of accuracy and attention to detail
∎ Good in English & Bangla communication and interpersonal skills.
∎ Experience working with an international NGO is strongly preferred.
∎ Assist with all aspects of administrative support to staff, directory maintenance, equipment inventory, and storage;
∎ Receive and answer fax/telephone calls/conference calls and greet all visitors using a professional and courteous manner and direct them to the appropriate person;
∎ Oversee office upkeep in terms of needed repairs and daily cleaning;
∎ Assist with the management of travel arrangements for personnel and visiting headquarters staff if applicable, including hotel bookings and airline reservations;
∎ Create and manage JSI welcome packages for visitors;
∎ Prepare and manage welcome materials for new staff, including orientation package, staff ID cards, business cards, office keys, telephone extensions, and colleague contact information;
∎ Manage office filing system and handling official documents confidentially;
∎ Assist in arranging and coordinating staff retreats and office events;
∎ Distribute office mail and send out mail/packages to the appropriate hosts and couriers;
∎ Set up and maintain a computerized tracking sheet for all correspondence sent from personnel to other staff and partners.
∎ Manage office stationery stock and other office supplies and maintain stationery tracking sheet;
∎ Help in the organization of conferences/retreats with maintaining schedules and ordering food;
∎ Perform other tasks as required.
∎ Brief description of the project:
∎ The purpose of the Urban Health Activity is to strengthen urban health systems, with the goal of improving equitable health outcomes among all urbanites. To achieve its goal, the activity will work with municipalities and city corporations and focus investments on establishing and strengthening urban health systems to provide quality, equitable public health (including health services), optimize available resources, and become more resilient. This Activity will focus on the following four objectives: 1) Improve the capacity of local health authorities to conduct evidence-based analysis of local health systems and epidemiology for decision-making; 2) Institutionalize evidence-based planning; 3) Strengthen urban health systems; and 4) Strengthen urban health system resilience and responsiveness to shocks and stressors.

∎ Job Summary:
∎ The Administrative Assistant position is a full-time position with the UHA project based at the city level in Bangladesh. The Administrative Assistant will report to the City F&A Manager. S/he will provide administrative and logistics support to the City Office of the UHA project.
