Responsibilities & Context:
∎ The Logistics and Admin Officer is responsible for the effective management of logistics, project administration, and warehouse operations of the project. This includes ensuring the seamless coordination of resources, adherence to UNICEF and organizational standards, and providing essential support to staff and project operations.
∎ Support Manager, Administration in day-to-day administrative operations of the office and project operations, ensuring efficiency and compliance with relevant policies.
∎ Supervise and assist Admin officer for the scheduling and management of office administrative functions, including meetings, communications, and correspondence.
∎ Maintain accurate records of project employee attendance, leave, and performance.
∎ Coordinate administrative functions for the project, ensuring smooth day-to-day operations and supporting the Education project staff.
∎ Provide administrative assistance to staff, including processing necessary documentation, managing personnel records, and supporting procurement activities.
∎ Support recruitment and onboarding for staff and volunteers from both host and Rohingya communities, managing documentation for timely onboarding and orientation.
∎ Oversee all aspects of warehouse management, including planning, organization, and inventory control.
∎ Ensure accurate tracking of Learning Centre supplies and project assets through a systematic recording and reporting structure.
∎ Implement safety and security measures in the warehouse to protect materials and assets.
∎ Develop and manage a detailed procurement plan, determining item specifications and working closely with finance, procurement, and admin teams to ensure timely resource availability.
∎ Assist in acquiring essential materials and equipment, ensuring procurement aligns with project needs and guidelines.
∎ Oversee transportation, receipt, and distribution logistics for materials, ensuring all activities are recorded accurately.
∎ Disburse monthly salaries for Rohingya volunteers, cleaners, and night guards, and process monthly mobile and internet reimbursements for staff.
∎ Maintain organized financial records and provide monthly reports to the Project Manager and relevant finance personnel.
∎ Ensure compliance with organizational safety and security standards for all project locations, including the office and warehouse.
∎ Maintain and update asset list, security and safeguard official documents according to data protection policies.
∎ Serve as the primary point of contact for logistics and admin support, coordinating closely with the Admin and Project Manager and field teams.
∎ Facilitate effective communication between project stakeholders, providing updates and feedback on logistics and operational challenges.
∎ Other Duties as Assigned:n  Support any additional logistics or administrative tasks as directed by the supervisor or organization to ensure the project meets its objectives.
∎ Master's degree in supply chain management, business administration, public administration, or a related field. A Postgraduate Diploma in Supply Chain Management is preferred.
∎ 3-4 years of experience in logistics, warehouse management, or project administration, preferably within NGO or humanitarian settings.Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and knowledge of warehouse management and inventory systems.
∎ Capable of working under pressure.
∎ Knowledge of Warehouse management and record keeping.
∎ Sound MS Word, MS Excel, Power point, Outlook and other relevant computer skills.
∎ Have strong team working skills and a collaborative approach to learning, both face-to-face and remotely to implement project activities.
