Job Context:
∎ Duration of the contract : 11 months (Up to December 2020)
∎ Reporting to : Programme Manager PMO
∎ Job Purpose:
∎ Ensure effective and efficient Financial and administration support to Swedish Red Cross in Population Movement Operation Office through standard e procedures.
Job Responsibilities:
∎ Admin Responsibilities:
∎ Manage tasks related to administration, documentation, resources management, government affairs,
∎ Manage admin relating to programme operations, meetings, trainings, events
∎ Manage admin relating to travel of staff and visitors: visa, tickets, arranging transfer/fleet and accommodation arrangements.
∎ Plan and arrange meetings, workshops and training courses, seminars, obtaining permits and authorization as assigned
∎ Responsible to distribute all incoming and outgoing mail/faxes/letters and documents of the organization.
∎ Responsible for maintaining technical infrastructure (e.g. purchase of printer cartridges) and arranging repairing and servicing of equipment and to ensure that the supplies are adequately purchased and kept in stock.
∎ Create and maintain a national and international contacts lists (telephone, mobile no., e-mail and address lists) regularly.
∎ Briefing/induction packs for new starters and visitors
∎ Ensuring the office and accommodation are maintained and cleaned to a high standard.
∎ Finance Responsibilities:
∎ Responsible for financial management of all Swedish Red Cross accounts and budgets in Cox's Bazar, Bangladesh
∎ In close consultation with the Programme Manager, monitor the programme budgets and ensure accurate accounting, authorization and internal control procedures, identify and address significant variances
∎ Ensure all expenses are justified with necessary supporting documentation according to SRC policies and procedures
∎ Control and ensure payment are issued against invoices from suppliers, vendors and/or third parties on time (either in cheque or cash)
∎ Maintain petty cash as per organization's policy on petty cash management
∎ Responsible for the programme bookkeeping in the Tally system
∎ Preparing monthly financial reports including eligibility of expenses, prior approval and compliance with project agreements/grant letters and other policies and procedures
∎ Ensure that the working advances to the PMO are cleared according to the BDRCS financial regulations
∎ Assist in preparing cash forecast and cash request to IFRC and Swedish Red Cross HQ.
∎ Assist in carry out month/year end closing procedures and reporting in line with requirements
∎ Manage accounts and correspondence with bank (Cash withdrawal, deposits, cheque book request, BEFTN, cheques for clearance, account opening and closing, signatory changes)
∎ Manage camp payments 2 to 3 times a month (Pay approximately 300 volunteers in cash in Rohingya Camps)
∎ Provide support and coordinate internal & external audits as required
∎ Perform other related duties as may be assigned by the Swedish Red Cross Programme Manager.
∎ Duties applicable to all staff:

∎ Perform any other work-related duties and responsibilities that may be assigned by line manager and Country Manager.
Additional Requirements:
∎ Experience Requirements:
∎ Required-
∎ Minimum 3-5 years' experience of working for humanitarian organization
∎ Working knowledge of NGO/INGO in Bangladesh and implementation of programme strategies in Bangladesh
∎ Preferred:
∎ Prior Red Cross experience will add value.
∎ Experience of article ship/intern with audit firm especially worked with INGOs
∎ Knowledge:
