Job Context:
∎ For the team of our Climate CLUSTER, we seek applications from suitable candidates for the position of "Receptionist cum Office Assistant".
∎ Contract Duration till: December 31, 2021
∎ Possible Contract Starting Date: May 1, 2019
Job Responsibilities:
∎ The position holder will be responsible for
∎ Liaising with external in a service-oriented manner on behalf of the Cluster by providing a professional phone service, personally welcoming visitors and maintaining a high standard in the reception area
∎ Ensuring incoming and outgoing calls are efficient and uninterrupted
∎ Performing reception and secretariat services for cluster executives
∎ Core Scope Tasks:
∎ The receptionist cum office assistant performs the following task
∎ Telephone/Reception/Dispatch Services:
∎ Answers screens, forwards and/or returns phone calls and messages
∎ Manages incoming and outgoing correspondence, including faxes, e-mails, parcels and hand delivered messages on a routine basis
∎ Disburses cheques to the suppliers/clients and gets back to accounts section at end of the day
∎ Ensures that official receipts, invoices, etc. are properly dispatched to the respective unit/colleagues
∎ Secretarial Work and Services:
∎ Establishes and/or updates the index of, and data on, contact addresses (incl. outlook contact- ban and calendar), phone/fax numbers, and e-mail-addresses regularly
∎ Logs in in/records incoming and outgoing letters, faxes, e-mails on a daily basis
∎ Sorts and distributes incoming mail, faxes and other official documents for mailing and collecting
∎ Organizes and takes responsibility for the delivery and collection of documents/parcels from and to post office, government bodies, embassies, etc.
∎ Organizes in making proximity card and registry into the system and hand it over to the person
∎ Coordinates and monitors time schedule and maintain the appointment schedule for events concerning the Cluster executives
∎ Update Experts movement to the GIZ Office security desk on regular basis & vice versa
∎ Assist in arranging small meetings, workshops, conference room booking etc.
∎ Assists in the documentation of meetings
∎ Assist in booking of meeting room and ensures logistic services in the meeting room
∎ Documents signing from Cluster executives when required
Additional Requirements:
∎ At least 1-3 years' professional experience in a comparable position
∎ Previous job experience in GIZ will be an asset
∎ Other knowledge, additional competences:
∎ good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office, MS Excel)
∎ Very good written and oral knowledge of Bengali and English
∎ politeness and helpfulness in dealing with visitors
∎ willingness to upskill as required by the tasks to be performed - corresponding measures are agreed with management
