Responsibilities & Context:

  • Manage the procurement process for goods, services, and supplies required by the organisation.

  • Prepare and process purchase requisitions based on campus needs and authorised requests. 

  • Monitor and distribute stock for all campuses, including expat's residence.

  • Maintain the stock register and ensure that it is up to date. Proactively ensure day-to-day supplies are available. Ensure that at least the minimum quantity of each item is available in stock. Notify the Line Manager immediately if any item falls below the minimum required quantity to allow further purchasing arrangements.

  • Source reliable suppliers and obtain quotations to ensure cost-effective purchasing.

  • Compare prices, specifications, and delivery schedules to determine the best purchasing options.

  • Prepare purchase orders and ensure proper approval procedures are followed.

  • Maintain accurate procurement records, supplier databases, and documentation.

  • Liaise with suppliers and vendors regarding pricing, delivery schedules, and product quality.

  • Monitor inventory levels and coordinate with relevant departments to ensure timely replenishment.

  • Ensure all purchased items meet required quality standards and organisational requirements.

  • Support the Line Manager in procurement planning and budgeting.

  • Ensure compliance with organisational procurement policies and procedures.

  • Coordinate with the Accounts Department regarding invoices and payment-related matters.

  • Resolve procurement-related issues and supplier disputes professionally and efficiently.

  • Conduct market research to identify new suppliers and cost-saving opportunities.

  • Assist in maintaining effective relationships with vendors and service providers.

  • Perform other assigned tasks as required by Management.
