- Proficient in MS Office.
- Excellent communication and interpersonal skills.
Additional Responsibilities:
- Lead the QMS team and manage its performance.
- Strategic Planning: Align the QMS with the organization's strategic direction.
- Risk Management: Integrate risk-based thinking into all QMS processes.
- Liaison with Top Management: Advise senior leadership on quality performance and resource needs.
- Stay Updated: Keep abreast of changes in quality standards, regulations, and industry best practices.
Responsibilities & Context: QMS Development, Implementation, and Maintenance
- Develop, document, and implement QMS policies, procedures, and processes in line with international standards (e.g., ISO 9001, ISO14001, IATF 16949, ISO 13485).
- Ensure the QMS is understood and effectively implemented across all departments and levels of the organization.
- Maintain the master list of all controlled documents and records.
Documentation Control
- Manage the entire document control lifecycle (creation, review, approval, distribution, obsolescence) of all quality documents (e.g., Quality Manual, Procedures, Work Instructions, Forms).
- Ensure all documents are up-to-date, accessible to relevant personnel, and protected from unauthorized use.
- Manage the QMS records as evidence of conformity.
Internal Audits
- Plan, schedule, and conduct internal quality audits as per the audit schedule.
- Prepare audit reports, document non-conformities, and present findings to process owners and management.
- Verify the effectiveness of corrective actions taken to address audit findings.
Management Review
- Coordinate and prepare data for Management Review Meetings.
- Prepare the QMS performance report, including metrics on quality objectives, audit results, customer feedback, and process performance.
- Document minutes and track actions arising from management reviews.
Corrective and Preventive Action (CAPA)
- Manage the CAPA process from initiation to closure.
- Lead or support root cause analysis (using tools like 5 Whys, Fishbone Diagram, 8D) for non-conformities, customer complaints, and internal failures.
- Verify the effectiveness of implemented corrective and preventive actions.
Continuous Improvement
- Promote a culture of continuous improvement across the organization.
- Facilitate improvement projects and initiatives (e.g., using Kaizen, PDCA methodology).
- Monitor quality objectives and key performance indicators (KPIs) to identify trends and areas for improvement.
Training and Awareness
- Develop and deliver QMS training programs to ensure employee awareness and competence.
- Train internal auditors on audit principles and techniques.
Customer and Supplier Quality
- Address customer quality requirements and feedback.
- Participate in the supplier qualification process and conduct supplier audits when necessary.
- Manage the control of non-conforming product (output).
Management of External Audits and Certification
- Act as the primary point of contact for external audits (e.g., certification bodies, customers, regulatory agencies).
- Coordinate all activities during external audits and ensure the organization is always "audit-ready".
- Ensure timely renewal of quality certificates.
