The Head of Extracurricular Activities (ECA) is a senior leadership role responsible for the strategic planning, coordination, and execution of all extracurricular programs and major school events across Bangladesh International Tutorial (BIT). The role focuses on enriching student life beyond the classroom by fostering social, emotional, physical, and leadership development while aligning all activities with the school’s mission, values, and academic calendar.
The Head of ECA works closely with academic leadership, campus heads, faculty, students, parents, and external partners to ensure that extracurricular programs are impactful, inclusive, well-managed, and reflective of BIT’s standards of excellence.
1. Program Planning and Development
Design, plan, and implement a comprehensive extracurricular program that supports students’ social, emotional, physical, and creative development.
Develop and oversee a diverse range of activities including sports, music, arts, drama, debate, clubs, and student societies, catering to varied interests and talents.
Collaborate with academic leadership and faculty to ensure extracurricular activities complement and align with the school curriculum and institutional mission.
Regularly review and enhance ECA offerings based on student participation, feedback, and emerging trends.
2. Event Management
Plan, organize, and oversee major school events such as Annual Sports Day, cultural programs, talent shows, inter-school competitions, festivals, and exhibitions.
Manage all logistical aspects of events, including scheduling, budgeting, venue preparation, equipment, safety arrangements, and participant coordination.
Coordinate with vendors, suppliers, service providers, and sponsors to ensure professional and successful event execution.
Ensure timely reporting and post-event evaluation to assess effectiveness and identify improvements.
3. Student Engagement and Leadership Development
Encourage broad student participation in extracurricular activities and promote inclusive engagement across all grades.
Identify, mentor, and nurture student talents, providing guidance to help students excel and gain confidence.
Establish and supervise student clubs and committees, fostering leadership, responsibility, teamwork, and accountability.
Support student representation in competitions, performances, and inter-school platforms.
4. Collaboration and Communication
Maintain clear and consistent communication with teachers, parents, campus leadership, and the administrative team regarding ECA programs and events.
Provide regular updates to parents on student involvement, achievements, and extracurricular performance.
Work closely with faculty and administration to integrate extracurricular activities seamlessly into the annual school calendar.
5. Budgeting and Resource Management
Prepare and manage the annual budget for extracurricular activities and events.
Ensure efficient and transparent use of allocated resources while monitoring expenditures and maintaining cost control.
Maintain an up-to-date inventory of equipment, materials, and facilities required for various activities and events.
6. Promotion and Recognition
Promote extracurricular programs and student achievements through newsletters, social media, school publications, and the official website.
Organize recognition initiatives including awards, certificates, and assemblies to celebrate student accomplishments.
Coordinate with external organizations and media, where appropriate, to highlight major school events and achievements.
7. Leadership and Additional Duties
Actively participate in leadership and management committees as required, contributing to institutional planning and development.
Collaborate closely with the Vice Principal, Heads of Campus, and senior leadership to ensure effective coordination of extracurricular programs.
Work with the Admissions Team to support recruitment efforts by showcasing BIT’s extracurricular strengths and student engagement initiatives.
Represent BIT at external meetings, competitions, and inter-school events related to extracurricular activities.
Ensure the Managing Director and CEO are regularly updated on major ECA initiatives, achievements, challenges, and resource needs.
Undertake additional responsibilities and special projects related to student engagement and institutional initiatives as assigned by senior management.
