Responsibilities & Context:

Job Summary:

A Head of Chairman's Secretariat is a high-level, senior management position that acts as a key liaison and advisor to the Chairman of a company, particularly in the real estate industry. This role is crucial in ensuring the Chairman's vision and strategic objectives are effectively executed across the organization. The job description can vary depending on the size and structure of the company, but generally, it involves a blend of strategic, administrative, and operational responsibilities.

 Core Responsibilities:

Strategic Support: Act as a trusted advisor to the Chairman on all business matters, including real estate development, acquisitions, and investment strategies. This involves preparing briefings, reports, and presentations, and conducting research on market trends, competitors, and potential opportunities.

Administrative Management: Oversee the daily operations of the Chairman's office. This includes managing complex calendars, scheduling meetings, coordinating travel, and handling confidential correspondence. The Head of the Secretariat ensures that the Chairman's time is optimized and that all administrative tasks are executed with the highest level of efficiency and discretion.

Communication and Liaison: Serve as the primary point of contact between the Chairman and internal and external stakeholders, including senior executives, board members, investors, government officials, and key clients. This requires excellent communication skills to convey the Chairman's directives, and to gather information and provide updates on behalf of the Chairman.

Project and Initiative Oversight: Take the lead on special projects and initiatives as directed by the Chairman. This can involve anything from new property development projects to corporate restructuring. The Head of the Secretariat is responsible for monitoring progress, ensuring deadlines are met, and reporting back to the Chairman on key milestones and challenges.

Board and Committee Support: Manage all aspects of Board and committee meetings. This includes preparing agendas, compiling meeting materials, recording minutes, and ensuring follow-up on all action items. The Head of the Secretariat is often the "Board Secretary" in all but name, and ensures corporate governance standards are upheld.

Financial and Budgetary Management: In collaboration with the finance department, assist in the management of the Chairman's office budget. The role may also involve providing financial analysis and reports on various projects and company performance.

Policy and Procedure Implementation: Work with senior management to implement and enforce company policies and procedures, ensuring that the Chairman's directives are understood and followed throughout the organization.
