Job Context:

∎ Project Title: A one-stop digital service center to address trafficking during COVID-19 in Bangladesh
∎ Contract Period: From 01 December 2021 until 30 November 2023
∎ General characteristics
∎ The Finance & Administration Assistant provides a supportive contribution to business operations by assisting in the implementation of (financial) administrative processes, handling of relevant data and providing information.

Job Responsibilities:
∎ 1 Perform financial administrative work:
∎ Financial administrative work has been conducted in such a way that data is processed quickly and accurately and a contribution has been made to the timeliness, correctness, completeness, and accessibility of the financial administration.
∎ 1.1 Financial transaction, Operation and Reporting:
∎ Assists in collecting financial data and verifies its accuracy, reliability, completeness and timelines.
∎ Assists in calculating, managing cash flows, payments and takes care of the recovery process
∎ Check & review of regular expenditure/bills..
∎ Prepare vouchers for receipt, payment, adjustment and record keeping of all transactions.
∎ Manage the financial records archive, keeps it current and complete and provides the required files/documents on request.
∎ VAT & TAX deduction and deposit to Gov’t treasury on time.
∎ Processes data and performs calculations in the intended system for further processing by others.
∎ Ensure compliance & financial policies of TdH NL, US DoS and Government of Bangladesh.
∎ Maintain monthly Cash book, Ledger book, Cheque issue register with daily updates.
∎ Prepare monthly, quarterly financial reports with bank reconciliation
∎ Payment of utilities, mobile bill, transportation allowance and internet bill on time.
∎ 1.2 Procurement, Administration and Programme support:
∎ Each programme budget/activity plan preparation and approval received from the relevant line authorities.
∎ Logistic support, transport, accommodation, travel advance,purchases, food work order etc. within time.
∎ Procurement support like preparetaion of purchase requisition, collection of quotations, preparing comparative statement, work order issue and goods received as per work order.
∎ Maintaining Inventory and Stock register updates every month.
∎ Maintain contact with Banks and other counterparts
∎ 1.3 Budget preparation and Financial Monitoring:
∎ Financial monitoring of PNGO’s with field visits.
∎ Assist to Head of the Finance and Programme support for budget preparation, budget revision, budget monitoring & variance analysis regularly.
∎ 1.4. Facilitate audit for JTIP project.
∎ Produce relevant documents to the external auditors for conducting audits.
∎ Result 2. Make information available:
∎ Information has been made available in such a way that stakeholders have timely been provided with the correct information and financial reports have been produced in a qualitatively good manner.
∎ Prepare and provide information available for internal and external stakeholders
∎ Assists in collecting and processing data for plan, budget, periodic and annual reports.
∎ Managing archives of the relevant documents and financial records and reports.
∎ Result : 3 Improve work processes
∎ Work processes have been improved in such a way that a contribution has been made to the process improvement of the (financial) administrative organization
∎ Acts proactively on developments that affect the financial focus area and with respect to their own department.
∎ Identifies potential bottlenecks in the work processes and/or financial systems; makes improvements and undertakes relevant actions, after approval by the manager.
∎ Guards budgets, identifies potential bottlenecks and proposes measures to be taken.

Additional Requirements:
∎ Minimum three years of experience preferably with NGOs dealing donor funded projects.
∎ Sound knowledge on book keeping, accounting, auditing and Tax &/ VAT.
∎ Have to be sincere, polite, dynamic, hardworking and willing to work under pressure.
∎ Multitasking ability and hardworking and willing to work under pressure to meet the deadline.
∎ Should have strong communication skills in both Bengali and English.
∎ Prior working experience in admin and procurement
∎ Has proper record keeping experience of all official materials, stock and assets.
∎ Computer proficiency in excel and google spreadsheets and other financial Software, word processing; and data management.
