Job Responsibilities:
∎ STRATEGIC (45%)
∎ To augment the effort to create a sustainability vision for the organization.
∎ To secure senior level commitment and necessary support for integrating and perpetuating sustainable development into core processes and decision-making practices.
∎ To uphold the intrinsic and extrinsic interests of the organization at all times.
∎ To intensively collaborate with the organization's internal groups (for example, knowledge management, strategy & corporate affairs, research & development, monitoring & evaluation etc.) in a bid to help develop a coordinated sustainability plan.
∎ To translate sustainability principles into short and long-range business planning, capital planning and operations planning from departmental perspective.
∎ To serve as the internal leader and "go-to" expert for corporate issues, monitoring emerging trends, knowledge management & communication issues, research & development aspects.
∎ To lead the interface with any and all government agencies and departments, domestic and international, relating to the organization's responses to questions or statements of position on communication, strategic partnership, marketing, branding and fundraising related matters as required and advised.
∎ To ensure that relevant initiatives are in alignment with the organization's broader Enterprise Risk Management program.
∎ To identify and prioritize areas for institutional sustainability efforts and recommend applicable strategies for proactively addressing those issues.
∎ To facilitate internal and external communications and visibility as the organization's spokesperson on relevant issues.
∎ To create and implement strategies to publicize the organization's sustainability efforts and promote broad awareness of sustainability initiatives.
∎ To build effective partnerships with external organizations, associations, professional bodies etc. to support UCEP Bangladesh in its sustainability efforts.
∎ To assess the organization's current performance to identify/prioritize the organization's key areas for immediate, mid or long attention/intervention.
∎ To formulate action plans with defined objectives, targets and responsibilities to support agreed upon strategies related to communication, partnership, marketing, branding, fundraising knowledge management, research & monitoring etc.
∎ To measure and regularly monitor progresses against different strategies like communication, research, knowledge management, research & monitoring, development, marketing, branding, partnership, fundraising etc. and share those with the management.
∎ To provide strategic inputs in programme designing, monitoring and evaluating so that the best interests of the organization are promoted and reflected throughout its operations and programmes.
∎ To guide the management with necessary inputs so that strategic goals of the organization is duly taken care of by employing its leverages, expertise, credibility and good offices in the applicable fields.
∎ To forge the culture of tech based practices in the organization in the realms of knowledge management and strategy & corporate affairs.
∎ To facilitate knowledge, result-driven and evidence practices across the organization.
∎ To ensure that the organization's sustainability effort enhances operational performance and supports the long-term interests of the company.
∎ To contribute to ensuring the development, revision, expansion and sustenance policies/strategies, action plans of UCEP Bangladesh, it's programmes and service delivery at regional, national and international levels.
∎ To contribute to establishing an effective and efficient result based M&E system and knowledge management mechanism.
∎ To contribute to strengthening business processes of UCEP Bangladesh and its entities at central and regional levels.
∎ To contribute to ensuring transparency, accountability, efficiency & effectiveness, record keeping and documentation of entire activities involving own department.
∎ To practice and promote concepts of value for money, cost effectiveness and Do-No-Harm approach.
∎ To render necessary supports to USC, UTIs, UIST and other social enterprise development initiatives as and when needed and requested.
∎ To contribute to enhancing efficiency and effectiveness of management and promoting good governance within UCEP Bangladesh and its entities at central and regional levels.
∎ To work with relevant departments like social enterprise development department in order to develop/determine pricing strategies/service or product variations/critical mass/business cluster etc. to optimize return on investment and long term competitive sustainability.
∎ OPERATIONAL (30%)
∎ Branding and Communication:
∎ To contribute implementing UCEP Bangladesh's values, vision, mission and goals, and development of future strategy documents as needed.
∎ To develop a marketing plan by analyzing current market data and trends.
∎ To develop UCEP Bangladesh positioning recommendations following due demarcation of brand elements, market research analysis etc.
∎ To ensure consistent, proper and effective brand messages as required and expected.
∎ To conduct research on possible new initiates and their efficacy following focus group research, online surveys, etc.
∎ To initiate and maintain effective contextual advertising system for wider coverage of UCEP Bangladesh and its activities.
∎ To maintain effective intra & internal communication across UCEP Bangladesh.
∎ To assist in creating and developing contents for print and online advertising, email marketing, website and social media, press releases, bylined articles, corporate videos, internal meetings, and marketing collateral by ensuring due adherence to brand style standard guidelines.
∎ To maintain leverage relationships with the media and influencers to communicate vision and mission of the organization to the right audiences at the right time to help achieve our stated and perceived goals.
∎ To develop proactive responses to the challenges in the realm of communication.
∎ To develop an integrated communications strategy for the organization incorporating public relations, marketing and online.
∎ To monitor press stories/reports relating to the UCEP Bangladesh and its relevant interest areas/groups and consult with relevant teams/departments in applicable cases.
∎ To contribute to developing (both in English and Bangla) and ensuring implementation of branding and communication strategies and guidelines of UCEP Bangladesh.
∎ To actively take part in the initiatives for ensuring the development of qualitative and effective communication materials (print and electronic media, verbal etc.), both in English and Bangla (including appropriate and correct use of language) following guidelines and ensure necessary dissemination to internal and external stakeholders for branding, marketing and fundraising etc.
∎ To help develop and promote new branding of the strategic business units like UCEP Bangladesh Social Enterprises.
∎ To assist in maintaining external communication on behalf of UCEP Bangladesh following guidance of the supervisor.
∎ To systematically explore, review relevant information, news, documents, research reports from government, private sector, development partners, research and academic agencies etc. and to keep SMT updated and to share valuable inputs in decision making/policy formulation.
∎ To facilitate the requirements of programs department in relation to communication, branding, marketing following UCEP Bangladesh's policy guidelines.
∎ Marketing and Partnership Development:
∎ To develop (both in English and Bangla), upgrade and ensure implementation of marketing and partnership development strategies and guidelines of UCEP Bangladesh.
∎ To undertake competitor research on a regular basis to know about their comparative/strategic advantages and disadvantages.
∎ To develop budgets and finance, including expenditures, research and development appropriations, return-on-investment and profit-loss projections to forge viability of a venture/initiative.
∎ To develop and manage advertising campaigns.
∎ To develop, set and achieve annual targets for fundraising and marketing following UCEP Bangladesh's Business Plan.
∎ To regularly explore potential funding sources (government agencies, donors, CSR, private sectors, industries, foundations, charities, individuals etc.) within the country and internationally, and provide timely and relevant information to the management and other relevant departments.
∎ To develop and manage alliance with government bodies, industry leaders, associations, renowned individual's other organizations.
∎ To establish networking and linkages with relevant national and international agencies and organizations.
∎ To develop, maintain and update partnership database and necessary communication with partners/stakeholders.
∎ To roll-out and ensure that the marketing and partnership development strategies are followed accurately by the concerned departments/regions and ensure coordination and capacity development.
∎ To assist in conducting due diligence of partnerships using appropriate tools in coordination with relevant departments and provide guidance accordingly.
∎ To coordinate preparation and finalization of partnership concept notes/proposals, ensure timely approval of SMT and submission.
∎ To prepare and obtain approval of contracts/ MoUs ensuring legal vetting for partnerships with inputs from all the concerned departments.
∎ To represent UCEP Bangladesh in partnership development related negotiations and meetings with relevant programs and departments with guidance from supervisor.
∎ To coordinate with Finance & Accounts, Legal, HR and Admin Departments for statutory compliances of partnership management.
∎ To oversee various events for the purpose of building and maintaining partnerships and alliances.
∎ Fund Raising
∎ To lead the development and implementation of a multiyear year fundraising strategy that underpins strategic goals, key activities, areas of required investment/intervention/engagement, KPIs and milestones to accelerate income growth in a sustainable manner across a diverse range of income streams and embed a culture of fundraising across UCEP Bangladesh.
∎ To discuss/lobby with regulatory bodies like NBR to gain tax waiver facilities for UCEP Bangladesh and its support bases/groups.
∎ To manage the grant application process and ensure that reporting is tracked and meets donors' expectations.
∎ To evaluate the effectiveness of specific events and advertising campaigns to determine which ones work well and which ones should be abandoned.
∎ To manage information and record the profile and fundraising activity of donors on a database.
∎ To explore dynamic means for raising funds and support for the organization.
∎ To work closely to create and engage on-line communities and to use these communities as the basis for recruiting new supporters and accelerating the growth of community fundraising by implementing digital platforms.
∎ To establish a range of new income streams, with a particular emphasis on the application of digital technology.
∎ To establish, test and rollout a supporter acquisition programme which increases the size of the active supporter/donor bases.
∎ To include the use of social media and on-line communities as a prominent means of reaching out to new supporters.
∎ To establish supporter segmentation and journeys as the basis for effective supporter engagement and align with wider customer journeys across the organization.
∎ To establish structure, processes, competencies and systems to ensure the fundraising endeavors are fully equipped to accelerate growth, establish a diversified and sustainable income base.
∎ Monitoring and Evaluation
∎ To ensure appropriate monitoring and evaluation of UCEP Bangladesh's programmes in line with organizational vision, mission, values and goals.
∎ To lead the initiative of developing and ensuring the implementation of Result Based Monitoring and Evaluation Framework, related to MIS and other necessary tools considering UCEP Bangladesh's Theory of Change.
∎ To undertake necessary initiatives to ensure necessary alignment of UCEP Bangladesh's organizational and programmatic documents (e.g. UCEP Strategies, Project Documents including Logical Framework, Project Proposals etc.) with UCEP Bangladesh's Theory of Change and support management in this regard.
∎ To design and implement the capacity of relevant staff at central and regional levels on UCEP Bangladesh's Theory of Change and Result Based M&E Framework.
∎ To monitor the concurrent practices and propose the management to introduce necessary technology based tools for ensuring effective and efficient real time data driven M&E system and develop capacity of relevant staff in this regard.
∎ To assist in ensuring the functional Trainee Tracking System (TTS) for UCEP Bangladesh.
∎ To lead the initiatives of introducing applicable systems for Big Data Management including acquisition, data analysis, data quality assessments and reporting for development of key organizational and programmatic documents (e.g. Annual Report, Monthly Monitoring Report, Budgets, Project Documents, Donor Reports, Case Studies, UCEP Bangladesh's websites, social media, e-newsletter etc.).
∎ To assist in formulation and efficient management of departmental budget.
∎ To keep UCEP Bangladesh abreast with the updates/developments on a regular basis with regard to latest (national and international) developments in Tech-based solutions for M&E and Research.
∎ To assist in ensuring systematic surveys including baseline, midline and end line surveys, process monitoring, impact evaluations (internal and external), longitudinal studies etc. in collaboration with Programmes Department.
∎ To assist in ensuring regular monitoring of organizational developments and programme results and share feedback to relevant staff at central and regional levels for continuous improvement as required and requested.
∎ To identify strategic and critical areas for research and development; ensure conduct of research and timely dissemination and develop necessary capacity of staff at central and regional levels.
∎ To maintain necessary network at national and international level for Tech-based solutions for M&E, Research and knowledge management.
∎ To regularly visit and monitor all programs of UCEP Bangladesh and its other entities (UTI, UIST, USC etc.) and share the findings with suggestions/recommendations.
∎ To ensure regular and effective coordination with other departments and Regional Management Teams for timely development of M&E reports and share feedbacks.
∎ To ensure regular follow-up of developments/updates on the already shared and accepted feedbacks following M&E processes involving other departments and Regional Management Teams.
∎ To ensure effective coordination with ICT and Business Solutions department for management and upgrading tech-based software and tools for M&E and Knowledge Management system.
∎ To represent UCEP Bangladesh in different national and international forums under the guidance of supervisor as required and requested.
∎ To support in determining data analysis procedures and use of quantitative or qualitative analysis tools.
∎ To summarize different findings and thus assist in developing monthly, quarterly or annual reports depending on programme requirements.
∎ To disseminate evaluation findings and project results to donors and other stakeholders as required and requested.
∎ Knowledge management
∎ In collaboration with relevant departments/teams like Information & Communication Technology and Business Solutions Department and other stakeholders, develop organization-wide and partnership-wide knowledge management strategy and policy.
∎ To develop and maintain central knowledge repository at UCEP Bangladesh.
∎ To support Regional Offices in developing knowledge repository and in the sharing of relevant knowledge that leads to improvement in programme planning, monitoring, evaluation etc.
∎ To lead the knowledge management team to achieve concrete results.
∎ To maintain relevant data and information accessible and readily available as requested and required.
∎ To collaborate with different teams in publishing and sharing relevant information and knowledge for targeted audiences.
∎ To ensure that publications are crafted in that manner that add value and provoke internal and external thinking on UCEP Bangladesh programmes and its activities.
∎ To ensure that resources are available to ensure systematic and appropriate publications.
∎ To undertake initiatives so that the lessons/experiences/models that are mastered/gathered over time following different programmes/activities are properly employed for arranging different sessions like knowledge sharing sessions, developing training and development sessions etc.
∎ To lead the initiatives of introducing systematic interventions for ensuring appropriate dissemination of program generated learnings internally and externally (nationally and internationally) among relevant stakeholders.
∎ To mark the areas for further improvement, fine-tuning, process efficiency and seek management attention thereupon.
∎ PEOPLE MANAGEMENT AND OTHER GENERAL TASKS (25%)
∎ To coach and mentor team members at varying levels and career stages to maximize each individual's growth and potential.
∎ To actively take part in the evaluation of relevant staff performance.
∎ To regularly arrange coordination meeting involving intra and inter team members to facilitate the smooth operations of the department.
∎ To facilitate staff adherence to organizational culture, rules, policies and guidelines etc.
∎ To facilitate team cohesiveness among the employees under supervision.
∎ To initiate necessary processes e.g. performance apprisal, inquiry etc. as required and/or requested.
∎ To sit in regular internal meetings so that intra and inter communication, coordination and support contribute to facilitating a perfect synergy.
∎ To orient periodically relevant field staff and staff under supervision about the operational, tactical and strategic issues.
∎ To convey management decisions/expectations among the team members as required for better understandability and acceptability.
∎ To arrange and ensure different sessions like knowledge & research findings sharing, policy advocacy etc. under the guidance of supervisor.
∎ To plan and efficiently utilize yearly budget for covering the areas like research, knowledge management, monitoring, communication, marketing and partnership development etc.
∎ To coordinate and visit programs regularly for gaining insights on program deliverables, deficiencies constraints etc.
∎ To plan and host visits of current and prospective donors, partners and other stakeholders as required and requested.
∎ To give elaboration and information-rich orientations to external visitors as and when required and requested.
∎ Promote and contribute to ongoing efforts towards gender equity & equality, child/staff protection & safeguard, inclusiveness, accessibility and discrimination free environment in the workplace and operations/activities/plans. In applicable cases, ensure that necessary budget allocation is there and in KPIs these issues are reflected regarding employees under supervision.
∎ To maintain strict confidentiality of information, documents and other internal and external communications.
∎ To carry out other relevant tasks assigned by the authority as and when required.
Additional Requirements:
∎ Age at most 50 years
∎ Both males and females are allowed to apply
∎ Minimum 15 years of relevant professional experience including at least 08 years in senior managerial role in a large organization.
∎ Excellent command of communication skills both in Bangla and English.
∎ Excellent computer operating skill & conversant with MS Office package, and trained in SPSS other M&E related latest software and tools etc.
∎ Demonstrated experience in setting up and managing effective M&E and Knowledge Management system for a large organization.
∎ Self-motivated, adaptable and team player.
∎ Ability and willingness to travel frequently.
∎ Age limit for the applicant would be 50 years. Management has the right to make exceptions based on qualifications.
