Experience:
Archive Management
Experience in coordinating with multiple branches and handling large volumes of documents will be preferred.
>Receive customers’ invoices and delivery challans from branches on a regular basis.
>Verify physical documents against system records, including invoice details, pricing, customer seal, signatures, and other required information.
>Identify missing or pending invoices/challans and promptly notify the respective branch personnel (Sales, Store, or other concerned departments).
>Conduct regular follow-up through phone calls, emails, WhatsApp, or other approved communication channels to collect pending documents.
>Prepare and circulate pending/gap reports to branches for timely resolution.
>Coordinate with customers, courier partners, and branch offices whenever required to recover or verify documentation.
>Visit branch offices when necessary to resolve documentation discrepancies and strengthen compliance.
>Maintain a systematic, secure, and party-wise archive of all invoices and challans for easy retrieval and audit purposes.
>Generate periodic status reports on documentation and archive management for management review.
>Ensure compliance with company policies, internal controls, and documentation standards.
>Perform any additional duties assigned by the reporting supervisor or management.
