Role Overview

The Admin Executive will be responsible for managing all aspects of warehouse setup, administration, and facility operations. This role ensures that the warehouse infrastructure, equipment, and utilities are fully operational, compliant with safety standards, and efficiently maintained. The position also oversees vendor management, procurement, and coordination of staff to ensure seamless warehouse operations and organizational support.

Key Responsibilities

  • Supervise warehouse administration and oversee initial-stage warehouse setup, including racking, shelving, and cold storage.

  • Support hiring, onboarding, and task allocation for warehouse loaders and labor during setup and operational phases.

  • Coordinate with contractors, vendors, engineers, and suppliers to ensure timely completion of infrastructure projects.

  • Monitor and manage warehouse utilities, equipment procurement, and facility readiness for daily operations.

  • Assign and supervise administrative, cleaning, and security staff to maintain smooth warehouse functioning.

  • Implement security management systems, carry out risk assessments, and ensure emergency preparedness.

  • Conduct periodic safety audits and maintain fire safety equipment.

  • Procure stationery, printing, and other operational items for head office and sub-offices.

  • Manage vendor contracts, track deliveries, and ensure timely installation of required materials.

  • Review bills, track attendance, and report suspicious activities, theft, or policy violations.

  • Maintain proper documentation, contracts, permits, and compliance records.

  • Oversee routine maintenance of warehouse infrastructure, equipment, and utilities; coordinate repairs as needed.

  • Provide regular progress updates and operational reports to management.

Requirements

  • Minimum 2–4 years of experience in warehouse administration, facility management, or related operations.

  • Strong knowledge of warehouse setup, logistics, and operational workflows.

  • Experience in vendor management, procurement, and contract negotiation.

  • Familiarity with safety standards, security systems, and emergency preparedness protocols.

  • Proficiency in MS Office (Word, Excel) and basic reporting/documentation skills.

  • Excellent organizational, communication, and coordination skills.

  • Ability to work independently, prioritize tasks, and manage multiple responsibilities under pressure.
