We are looking for a proactive, highly organised, detail-oriented and numerate Accounts & Administration Assistant to support the day-to-day financial, operational, and administrative functions of our UK Head Office team.
This is a varied and fast-paced role combining accounts support, financial administration, data management, and general business administration. The successful candidate will play a key role in maintaining accurate financial records, processing payments, supporting commission calculations, and ensuring the smooth running of administrative processes across the business.
A significant part of the role involves working with complex commission structures and payment arrangements relating to our international recruitment partners. As such, the successful candidate must be highly numerate, comfortable working with figures and spreadsheets, and able to accurately interpret and apply commission agreements to ensure suppliers and recruitment agents are paid correctly and on time.
You will regularly communicate with UK-based colleagues, suppliers, university partners, and other international stakeholders, requiring a high standard of written and spoken English and the ability to communicate professionally in a business environment.
Processing sales and purchase invoices accurately and efficiently.
Maintaining accurate and up-to-date financial records and databases.
Supporting accounts payable and accounts receivable activities.
Processing supplier payments and ensuring payment records are maintained accurately.
Calculating, verifying, and administering commission payments in line with agreed commission structures and contractual arrangements.
Reviewing commission reports and investigating discrepancies where required.
Carrying out bank reconciliations and resolving variances.
Assisting with credit control activities and following up outstanding payments.
Supporting month-end and year-end finance processes.
Assisting with financial reporting and management information preparation.
Liaising with UK Head Office colleagues regarding financial and account-related queries.
Providing administrative support to the CEO and UK Head Office team.
Performing high-volume data entry with a strong focus on accuracy and attention to detail.
Managing incoming emails and responding to queries where appropriate.
Maintaining organised digital filing systems and business records.
Preparing correspondence, reports, spreadsheets, and business documentation.
Supporting operational projects and ad hoc administrative tasks as required.
Ensuring company records, systems, and databases are maintained accurately and efficiently.
You will be a highly organised, dependable, and detail-focused individual with excellent numerical ability and a strong understanding of the importance of accuracy.

Previous experience in an accounts, finance, bookkeeping, or office administration role.
Strong numerical and analytical skills with the ability to work confidently with financial data.
Experience processing invoices, payments, reconciliations, and financial records.
Excellent attention to detail and accuracy, particularly when working with figures and large volumes of data.
Ability to understand, apply, and manage complex commission structures and payment calculations.
Strong organisational skills and the ability to manage competing priorities effectively.
Excellent Microsoft Excel skills, including working with formulas, reports, and financial data.
Professional business-level written and spoken English.
Ability to communicate confidently and professionally with international stakeholders, including UK-based colleagues, suppliers, and native English speakers.
Strong IT skills and the ability to quickly learn new systems and processes.
Ability to work independently while maintaining a high level of accountability and accuracy.
Experience using accounting software such as Xero, QuickBooks, Sage, or similar.
Understanding of accounts payable, accounts receivable, reconciliation, and bookkeeping processes.
Experience administering commission payments or working with commission-based financial structures.
Experience supporting UK-based teams or international businesses.
Advanced Excel skills, including pivot tables and reporting.
Basic bookkeeping or accounting qualifications.
Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred but not essential.
Relevant accounting, bookkeeping, or finance qualifications would be advantageous.
