Responsibilities & Context:

1. Inventory Management

  • Maintain accurate stock levels of medical supplies, surgical instruments, medicines, linens, equipment, etc.

  • Monitor expiration dates and ensure proper rotation (FIFO/LIFO as applicable).

  • Perform regular stock audits and reconciliations.

2. Procurement and Receiving

  • Coordinate with the Purchase Department for timely procurement.

  • Verify and receive materials against purchase orders and delivery challan.

  • Ensure quality and quantity checks during receiving.

3. Record Keeping and Documentation

  • Maintain proper documentation for all incoming and outgoing materials.

  • Update inventory management software regularly.

  • Prepare daily/weekly/monthly reports on stock movement.

4. Distribution and Issue

  • Timely issue of materials to various departments like OT, ICU, Ward, Lab, etc.

  • Maintain issue records with signatures of receiving staff.

  • Ensure emergency supplies are available at all times.

5. Equipment and Asset Management

  • Track and maintain non-consumable items like medical instruments and hospital assets.

  • Coordinate with biomedical/maintenance departments for repair and servicing.

6. Compliance and Safety

  • Ensure storage of medicines and supplies as per safety standards (temperature, humidity, hygiene, etc.).

  • Comply with hospital policies and healthcare regulations.

  • Maintain safety and cleanliness in store premises.

7. Coordination and Communication

  • Coordinate with suppliers, purchase department, accounts, and hospital units.

  • Attend stock review meetings and suggest reordering based on consumption trends.

8. Supervisory Role

  • Supervise and train store assistants or helpers.

  • Assign duties and monitor staff performance.

  • Ensure proper labeling, shelving, and physical arrangement of stock.
