Responsibilities & Context:
  • Provide general administrative support to executives, managers, or teams, including managing correspondence and documentation.
  • Prepare and edit reports, presentations, and other documents as needed.
  • Communication Management:
  • Handle incoming and outgoing communications, including phone calls, emails, and mail.
  • Act as a point of contact for internal and external stakeholders, ensuring effective communication.
  • Scheduling and Calendar Management:
  • Manage calendars for executives or teams, scheduling appointments, meetings, and events.
  • Coordinate logistics for meetings, including booking conference rooms and preparing materials.
  • Record Keeping:
  • Maintain organized filing systems for documents, records, and correspondence.
  • Ensure that important documents are properly archived and easily accessible.
  • Office Management:
  • Oversee office supplies and inventory, placing orders as needed to ensure adequate stock.
  • Assist in maintaining a clean and organized office environment.
  • Meeting Coordination:
  • Prepare agendas and take minutes during meetings, distributing them to relevant parties afterward.
  • Follow up on action items and ensure that tasks are completed in a timely manner.
  • Data Entry and Management:
  • Input and manage data in various software applications, such as spreadsheets and databases.
  • Generate reports and summaries based on data as required.
  • Customer Service:
  • Greet visitors and clients, providing assistance and directing them to the appropriate personnel.
  • Address inquiries and resolve issues in a professional manner.
  • Confidentiality:
  • Handle sensitive information with discretion and maintain confidentiality in all matters.
  • Ensure compliance with data protection regulations and company policies.
  • Support for Special Projects:
  • Assist with special projects or initiatives as assigned by management.
  • Collaborate with team members to achieve project goals and deadlines.
