∎ Proven experience as a Personal or Executive Assistant, preferably with experience in both personal and business support.
∎ Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
∎ Strong communication skills, both written and verbal, with a high level of professionalism.
∎ Proficient in using productivity tools such as Microsoft Office Suite, email clients, and calendar management software.
∎ Attention to detail and a proactive approach to problem-solving.
∎ Ability to maintain confidentiality and handle sensitive information with discretion.
∎ Flexibility to work outside regular office hours, if required.
∎ Ability to work independently and collaboratively, with a positive and adaptable attitude.
Responsibilities & Context:
∎ Personal Assistance:
∎ Manage personal calendar, appointments, and reminders.
∎ Coordinate personal travel arrangements, including flights, accommodations, and transportation.
∎ Handle personal correspondence, emails, and phone calls.
∎ Maintain confidentiality and handle sensitive personal information with discretion.
∎ Business Assistance:
∎ Calendar and Schedule Management: Efficiently manage and organize the executive’s business calendar, including scheduling meetings, appointments, events and following up on deadlines.
∎ Communication and Correspondence: Handle all incoming and outgoing business communications, including emails, phone calls, and messages, ensuring prompt and professional responses.
∎ Meeting Support: Prepare meeting agendas, take minutes, and coordinate logistics for business meetings, ensuring all necessary materials and resources are available.
∎ Document Management: Assist in creating, editing, and proofreading various business documents, presentations, and reports, ensuring accuracy and attention to detail.
∎ Event Planning: Assist in organizing and coordinating business events, conferences, and social gatherings, including logistics, catering, and guest management.
∎ Administrative Support:
∎ Provide general administrative support, such as filing, data entry, and organizing documents.
∎ Conduct research and gather information as needed.
∎ Assist with project coordination and follow-up.
∎ Handle any other tasks or projects assigned by the executive.
