Job Context

The Manager (Front Desk) is responsible for ensuring a professional and welcoming reception environment while overseeing all front desk operations. The role serves as the first point of contact for clients, investors, visitors, and business partners, ensuring exceptional customer service, efficient communication, and seamless coordination with internal departments to support the company's business objectives.

Job Responsibilities

  • Manage and supervise all front desk and reception operations.
  • Welcome clients, investors, visitors, and business partners in a professional and courteous manner.
  • Ensure a positive customer experience by maintaining high service standards.
  • Handle incoming calls, emails, and visitor inquiries, directing them to the appropriate departments.
  • Coordinate client appointments, meetings, and conference room schedules.
  • Maintain visitor records and ensure compliance with company security and access procedures.
  • Support the Sales & Marketing team by assisting walk-in clients and providing basic project information.
  • Coordinate with the CRM team to register customer inquiries and follow-up requests.
  • Monitor the cleanliness, appearance, and professional environment of the reception and waiting areas.
  • Supervise front desk executives and reception staff, ensuring efficient daily operations.
  • Manage courier services, incoming and outgoing mail, and document distribution.
  • Coordinate hospitality arrangements for VIP clients, board meetings, and corporate events.
  • Ensure all office communication materials and promotional brochures are properly displayed.
  • Handle customer complaints professionally and escalate issues when necessary.
  • Maintain confidentiality of client information and company records.
  • Prepare daily visitor reports and front desk activity summaries.
  • Coordinate with Administration, HR, and Security teams for smooth office operations.
  • Ensure adequate availability of reception supplies, office stationery, and hospitality items.
  • Develop and implement front office SOPs to improve operational efficiency and customer satisfaction.
  • Perform any additional responsibilities assigned by management.
