Responsibilities & Context:
  • Welcome and assist visitors and clients.

  • Maintain a professional and friendly reception environment.

  • Direct visitors to the appropriate department or person.

Telephone Handling:

  • Answer incoming calls professionally.

  • Transfer calls to the relevant departments.

  • Take and relay messages accurately.

Visitor Management:

  • Maintain visitor records and logbooks.

  • Issue visitor passes when required.

  • Inform employees about visitor arrivals.

Administrative Support:

  • Handle incoming and outgoing mail, courier, and documents.

  • Maintain filing systems and office records.

  • Assist with data entry and document preparation.

Appointment & Meeting Coordination:

  • Schedule appointments and meetings.

  • Manage meeting room bookings.

  • Coordinate refreshments for guests and meetings.

Customer Service:

  • Respond to customer inquiries.

  • Provide information about company products and services.

  • Handle complaints and direct them to the appropriate department.

Record Keeping:

  • Maintain employee attendance records (if assigned).

  • Keep contact databases updated.

  • Prepare daily, weekly, or monthly reports as required.
