Additional Requirements:

  • Experience: Minimum 02 years of experience as a Personal Secretary, Executive Secretary, Executive Assistant, or similar role.

  • Prior experience working directly with Chairman, CEO, Managing Director (MD), Director, or other senior management will be given preference.

  • Excellent communication skills in both Bangla and English (written and verbal).Strong proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and email correspondence.

  • Smart, well-groomed, and professional appearance with good interpersonal skills.

  • Strong organizational, multitasking, and time management abilities.

  • Ability to maintain strict confidentiality and handle sensitive documents and information with integrity.

  • Willingness to travel for official assignments when required.

  • Candidates from North Bengal region will be given preference.



Responsibilities & Context:
  • Manage Chairman’s daily schedule, appointments, meetings, and official commitments.

  • Maintain and organize confidential documents, important files, records, and sensitive information securely.

  • Ensure proper filing, indexing, safekeeping, and retrieval of Chairman’s confidential and official documents.

  • Handle confidential correspondence, letters, emails, reports, and other official communications.

  • Prepare letters, reports, presentations, meeting notes, notices, and other documents as required.

  • Maintain a proper record of Chairman’s instructions, decisions, and assigned tasks.

  • Follow up with concerned departments/executives regarding instructions given by the Chairman.

  • Monitor pending matters and provide timely reminders and status updates to the Chairman.

  • Coordinate meetings, appointments, official visits, and programs of the Chairman.

  • Prepare meeting agendas, briefing notes, minutes, and follow-up action points.

  • Coordinate with Head Office, Factory, Sales & Marketing, Accounts & Finance, HR, and other departments as directed.

  • Receive, review, sort, and organize important documents/information before presenting them to the Chairman.

  • Maintain confidentiality regarding company affairs, management decisions, financial information, employee matters, and business strategies.

  • Handle telephone calls, emails, messages, and visitors professionally on behalf of the Chairman when required.

  • Maintain an organized document tracking and follow-up system for important matters.

  • Ensure important documents are properly stored, protected, and available whenever required.

  • Assist the Chairman in collecting and compiling information, reports, and data from different departments.

  • Arrange and coordinate travel, accommodation, transportation, and other official requirements when required.

  • Maintain a proper record of official correspondence sent and received by the Chairman’s office.

  • Support the Chairman in day-to-day administrative and executive coordination.

  • Ensure that confidential information is not disclosed or shared with unauthorized persons.

  • Perform any other confidential, administrative, or executive responsibilities assigned by the Chairman.
