Job Context:
∎ Under the mentorship and supervision of Sr. Finance Manager. This post is responsible for day-to-day financial transaction, review of payment supporting documents data processing while keeping in line with IRC policies and procedures. The Finance assistant will support immediate supervisor manage and maintain country office accounting database. This position also requires close working relationship with Programs, Operations, Human Resources and Supply Chain units.

∎ Contract Length: 1 Year (With possibility of extension)
Job Responsibilities:
∎ Accounting and Treasury
∎ Prepare and maintain cash book ensuring completeness and accuracy of data entry.
∎ Ensure bills/invoice coding, supporting documents is accurate and appropriately approved by authorized personnel.
∎ Update cash books on daily basis, controlling access and ensuring data integrity.
∎ Responsible for processing the payments for cash transactions.
∎ Ensure completeness of payment documents in compliance to IRC, NGOAB and Donor policies and procedure.
∎ Ensure internal control procedures are followed for all cash disbursements and receipts.
∎ Process expense reimbursements; Liquidating advances - travel, program advances etc.
∎ Creating Invoice Journals, AP invoice journals, attach support documents and submitting to workflow.
∎ Follow up with approvers on all invoice journals in review status in workflow.
∎ Post all approved invoice journals, Non-PO invoice journals, vendor invoice journals, PO invoice journals etc. after approval.
∎ Create payment journals and submit to workflow for approval.
∎ Make payments using the payment journals information.
∎ Managing Physical cash, Perform physical count and match with ledger balances for all cash accounts.
∎ Book all cash receipts and deposits from staffs.
∎ Complete cash/bank reconciliation and post any adjustment entries.
∎ Prepare bulk payment DynAd and submit to workflow for approval.
∎ Reconciliation of all advances in field office.
∎ Carry out and document cash count as per the IRC policy and procedures.
∎ Visit in CAMP for volunteer payment and UKHIYA office visit if required.
∎ Timely payment ensures after receiving the bill from staffs.
∎ Procurement Accounting
∎ Review and account for procurement transactions to ensure adequate supporting documentation, accuracy of amounts and control over payments within limits.
∎ Participate and review the monthly/Annual inventory and fixed asset physical checks.
∎ Other Duties:
∎ Any other tasks assigned by immediate supervisor.
Additional Requirements:
∎ Age 18 to 60 years
∎ Graduate/Master's in finance or Accounting/Management/Finance
∎ Experience with International NGOs
∎ Strong computer skills – especially Microsoft Excel and experience working with computerized accounting system
∎ Bank reconciliation
∎ Tax & Vat related work
∎ Support donor audit
∎ Attend meetings
∎ Field visit, Supplier visit
∎ Good English communication skills both verbal and written
∎ Doing task timely and on quality.
∎ All payment done regularly.
∎ Accurate cash, bank book record and Reconciliation
