Education:

Education: Post-graduation degree from any recognized University/Institution. 

Experience: At least 06 years of work experience on which 03 years in relevant work and responsible position at any reputed organization. 

Training: Training in Secretarial Science will be preferred. 

Other: High degree of computer literacy particularly in the use of Word Processing, Excel, Power Point presentation etc. Proficient in using Internet, Email and social media. Having good proficiency in English language.

Responsibilities & Context:

Job SUMMARY:

Performs secretarial work of a complex nature for the Deputy Chief Executive Officer (DCEO) handling all confidential correspondence and exercising a high degree of discretion and initiative. This position involves limited independent judgment. Assignments are routine in nature and are carried out in accordance with general work instructions and established office practices, procedures, and precedents. Familiarity with official functions, policies, practices and work methods is essential.

ESSENTIAL FUNTIONS:

01.       Takes and transcribes dictation.

02.       Composes and prepares routine correspondence for signature

03.       Independently prepares recurring reports for the DCEO after obtaining information from various sources.

04.       Answers the phone, provides information, and receives information concerning matters relating to the Hospital.

05.       Maintains a calendar for the DCEO and ensures that complete information is available on all matters

06.       Makes arrangement for meetings and conferences.

07.       Establishes and maintains a variety of files and records; updates the filing system, searches files and records for readily identifiable information, as directed.

08.       Coordinates required office functions with other clinical and administrative departments.

09. Assigns work, gives assistance to other departments employees under direction of the DCEO.

10.       Maintains files of DCEO’s secretariat in progress and of matters in progress and follows up to ensure that actions are completed.

11.       Receive, classify all incoming mails and route all outgoing mail, and replenishes office supplies for DCEO’s office. Under close supervision of the DCEO compiles data from varied sources and makes summary reports as required. This may involve routine mathematical calculations and tabulations in accordance with established methods.

12.  Assists DCEO in a variety of administrative matters and supervised DCEO’s office and its related non-technical operations.

13.   Prepare draft Agenda for different meetings in consultation and instructed by DCEO. Takes note and prepare draft Minutes of different type of meetings with DCEO.

14.    Prepare files for different type of meetings for DCEO.

15.    Perform such other duties as may be assigned or delegated by the DCEO.
