Job Context:

∎ Reports to: Accounting Manager
∎ JOB SUMMARY: The Accounts and Admin Coordinator will ensure the smooth operation of the Dhaka and Cox`s Bazar office by providing Accounts and administrative support for project activities, volunteers, and staff. This position will effectively implement day to day accounts activities that include keeping accounting record, vendor payment, process advance request, oversight of operational services including logistics, vehicle management, procurement, inventory management, office maintenance, petty cash administration and support for workshops, public events and/or official visits

Job Responsibilities:
∎ Accounts Keeping - Cox's Bazar Office (30 percent):
∎ Support to the Cox's Bazar Staff for day-to-day project Accounting. (Minimum 2 days a week)
∎ Ensure timely receipt of all bills from different vendors and record bills in the register in a chronological way.
∎ Check supporting against invoice for payment according to ACDI/VOCA and USAID policies and procedures.
∎ Process employee advance requests, reimbursement and Travel expense report.
∎ Prepare monthly projection for cash advance request with Deputy Chief of Party and Sr. Field Coordinator.
∎ Admin - Cox's Bazar Office (20 percent):
∎ Identify the monthly/weekly support requirements of the Cox's Bazar team with proper communication with them
∎ Provide all kinds of logistics and administrative support to Cox's Bazar office.
∎ Implement effective inventory, ensure proper recording of all assets in the inventory register and conduct physical verification of office equipment regularly. Prepare procurement request form for maintenance of office furniture, fixture, and equipment's. Recommend repairs and/or replacement of any damaged equipment as appropriate.
∎ Ensure vehicle management systems in the Cox's Bazar office. Regular check motorcycle milage, fuel consumption, repair, and maintenance.
∎ Prepare procurement packages for goods and services. Check all procurements documents carefully to confirm that procurement is done according to USAID and ADCI/VOCA's Procurement Policies and Procedures. Develop and maintain a list of vendors to ensure competitive prices and offers.
∎ Liaise with vendors and manage relationships to ensure compliance and timely supply and payments.
∎ Make all arrangements for on-site and off-site meetings, conferences, and workshops. Provide the logistics support to the meetings and events which may include hiring and managing a venue
∎ Accounts Keeping - Country Office, Dhaka (50 percent)

∎ Support to the Accounts Manager with day-to-day project Accounting.
∎ Ensure timely receipt of all bills/invoice from 03 Field Office including Country Office, Dhaka and record each bill in the bill register in a chronological way.
∎ Check all supporting documents against each invoice for payment according to ACDI/VOCA and USAID policies and procedures.
∎ Ensure all bills/invoices include the rules and regulations of local government regarding Tax and VAT.
∎ Assist Accounts Manager to prepare VAT report.
∎ Ensure all payments are allowable, allocable and in compliance with US Government, local government, and ACDI/VOCA regulations.
∎ Prepare all vouchers (Debit, Credit and Journal) accurately in ACDI/VOCA standard and forward for review, approval, and payment.
∎ Ensure all expenses/accounting transactions are properly coded according to chart of accounts of ACDI/VOCA and Following USAID guideline for allowable and unallowable cost category.
∎ Ensure that all Vouchers are always up to date, orderly, well kept, and readily available for reference and audit, when required.
∎ Upload all Approved and Scanned vouchers in SharePoint of ACDI/VOCA
∎ Support to Petty Cash Management for Country Office and Cox's Bazar Office
∎ Check all the bills and advance paid from petty cash to see that are properly justified. Ensure and supervise to update day to day withdrawal and payment for petty cash book. Ensure that all transactions from petty cash are being paid in correct manner under the ACDI/VOCA's policy and procedure. Maintain petty cash register for periodical replenishment and physical verification.

Additional Requirements:
∎ Minimum 5 years of experience working within Accounts, and office operations.
∎ Strong written and verbal skills in English
∎ Having mindset to be flexible, adaptable and able to incorporate changes within the working environment
∎ Prior working experience in admin, procurement or other operations area for a donor funded project
∎ Excellent interpersonal and teamwork skills
∎ High level of organizational skills and ability to prioritize works under pressure
∎ High level of proficiency in Excel, Word and power point.
∎ KNOWLEDGE, SKILLS, AND ABILITIES:
∎ Experience with USAID and working in a multi-cultural environment is preferred.
∎ Demonstrated knowledge of Bangladeshi accounting standards. Knowledge of US Generally Accepted Accounting Principles strongly preferred.
∎ Skills of general accounting procedures, including accounts, audit, value-added tax (VAT), income tax, etc.
∎ Experience in the management of logistics and procurement are highly desirable.
∎ Has proper record keeping experience of all official materials' stock
∎ Travel to Cox's Bazar Office based on requirements.
