Responsibilities & Context:

1. Handle all room reservations via phone, email, website, OTAs, WhatsApp, and walk-in inquiries.

2. Respond to reservation inquiries promptly and professionally.

3. Enter, modify, and cancel reservations accurately in the Property Management System (PMS).

4. Confirm bookings and send reservation confirmation to guests.

5. Maintain accurate room inventory and availability.

6. Coordinate with the Front Office and Sales & Marketing teams regarding room availability, group bookings, and corporate reservations.

7. Upsell room categories, breakfast packages, airport transfers, spa, and other hotel services to increase revenue.

8. Monitor online travel agency (OTA) bookings and ensure rate parity where applicable.

9. Prepare daily arrival, departure, occupancy, and reservation reports.

10. Ensure guest preferences and special requests are properly recorded and communicated.

11. Follow hotel reservation policies, payment policies, and cancellation procedures.

12. Maintain corporate client reservation records and negotiated rates.

13. Follow up on tentative bookings and convert inquiries into confirmed reservations.

14. Handle guest complaints related to reservations professionally and efficiently.

15. Maintain confidentiality of guest information and reservation data.

16. Coordinate with Housekeeping to ensure room readiness for VIPs and special arrivals.

17. Monitor no-shows, cancellations, overbookings, and waiting lists.1

18. Support revenue management by maximizing occupancy and Average Daily Rate (ADR).

19. Maintain excellent communication with all hotel departments.

20. Prepare monthly reservation statistics and booking trend reports for management.
