Job Context:
∎ For the team of our "Chair for Sustainability and Textile Innovation (GIZ InS)", we seek applications for the position of "Junior Accounting Specialist".
∎ Contract Duration: September 2024
∎ Band: 3
∎ Project Background:
∎ GIZ International Services (InS), Dhaka Branch office is implementing of a project called "Chair for Sustainability and Textile Innovation". The objective of project is to establish the first Chair for Sustainability and Textile Innovation in Bangladesh in close cooperation with a local university. The Junior Accounting Specialist will support the areas of responsibility of finance and accounting.
∎ While the position is linked with the current project, the Junior Accounting Specialist will get the chance to get insights and support other) projects within the GIZ International Services (InS), Dhaka Branch to increase chances for future employability.

Job Responsibilities:
∎ The position holder is responsible for:
∎ Ensure data entries in Winpaccs and archiving the vouchers in line with GIZ guideline.
∎ Manage financial administration, such as recording of cash book, bank book.
∎ Ensure proper financial management of the project(s) according to GIZ rules and regulations.
∎ Respond questions arising in the areas of arranging, locating and facilitate payments.
∎ Support to identify relevant problems and issues and assisting in formulating implementation-oriented solutions for improved financial management.
∎ Effectively coordinates with the staff of the finance team at the projects and country office regarding project accounting.
∎ Managing knowledge by disseminating and documenting know-how, experience and information.

∎ In this context, the position holder fulfils the following tasks:
∎ Tasks (Specific for Job Role)
∎ Finances and Accounting:
∎ Support timely availability of funds for project activities
∎ Receive and arithmetically corrects invoices and processes payment from the branch office bank account in accordance with GIZ and BIDA regulations
∎ Assist in monitoring fund expenditure in accordance with the budget
∎ Support review and certification to the contractors' financial documents in line with the budget and gives recommendations for final voucher preparation and possible reimbursement
∎ Calculate travel claims and reimburses accordingly
∎ Support monthly accounting and financial planning of the project and branch office
∎ Support monitoring of real accounts (payables, receivables) and reporting accordingly
∎ Process settlement of applications for the reimbursement of projects travel expenses
∎ Maintain financial administration, such as recording of cash book, bank book, receipts preparation and registration
∎ Producing daily and monthly cash stock (denomination) for checking of the cash, bank book
∎ Support maintenance of the filing for Financial Section confidentially
∎ Support operating petty cash including maintaining cash book, monitor the daily cash flow record and the level of liquidity
∎ Support tax and VAT calculation, ensure timely payment to government treasury and maintain proper archiving
∎ Contribute to regulatory compliances for the branch office including maintaining communication with audit firm to make sure monthly, quarterly, and yearly returns are done properly. This includes reviewing reports and both way communication with the audit firm
∎ Immediately report all problems involving finance and administrative regulations without delay
∎ Participate in projects' and office finance and admin team meetings to understand needs and ensure smooth supports
∎ Keep him/herself updated with the changes in P+R and update the project where needed.
∎ Other Tasks:
∎ Contribute to coordination with the partner organizations / beneficiaries.
∎ Organize Managing inventory according to the regulations.
∎ Assist in vehicle management such as movement register, calculation of monthly fuel consumption, supervision of repair and maintenance.
∎ Report all problems involving administration and regulations to the Project Manager.
∎ Where appropriate and reasonable, contribute to administrative and logistic arrangements of project activities (meetings, seminars, trainings, workshops etc.).
∎ Assist is branch office's BIDA permission extension and periodic reportings process.
∎ Assist in and/or carries out other project activities and other tasks as assigned by the Project Manager and the Administrative Specialist.
∎ Deputize the Administrative Specialist during his/her absence.
∎ Perform other duties and tasks at the request of management.

Additional Requirements:
∎ At least 2 years of relevant work experience
∎ High level of computer and IT literacy
∎ Excellent command on MS-Office Suite, especially on Excel
∎ Strong communication and inter-personal skills
∎ Very good command in English and Bangla language in both speaking and writing
∎ Knowledge of Bangladesh taxation laws and rules are mandatory
